Description:
VSI (formerly Virginia Spine Institute), the leading concierge spinal healthcare practice in the Washington D.C. metropolitan area, is seeking a Procedure Scheduler to join our award-winning team. The Procedure Scheduler is responsible for coordinating and scheduling patients requiring procedures within the Regenerative Medicine Center (RMC) at VSI. As a member of the Scheduling Team, the Procedure Scheduler will also provide additional support with surgery scheduling and will serve as a back-up to the team when needed. This is a permanent, full-time position working out of VSI’s Reston, VA office.
JOB REQUIREMENTS:
- Completed at least 2 years of college and/or have 3-5 years of administrative experience
- Exhibit empathy and compassion toward patients; driven to go well beyond what is ‘expected’
- Comfortable communicating patient’s financial responsibility with regard to insurance coverage and cost
- Excellent organization skills with the ability to prioritize tasks and handle multiple tasks and projects at one time
- Ability to portray patience, understanding and impeccable professionalism even when under stress
- Conscientious, thorough and precise particularly with details, stable, tolerant and supportive
- Project a pleasant telephone voice and manner through exceptional communication skills
- The ability to collaborate within a team setting and work with minimal supervision

- Able to take change well and with a positive attitude
- Strong knowledge of Microsoft Office
Responsibilities:
- Organize and schedule regenerative procedures, radiofrequency ablations, and other procedures as appropriate
- Coordinate with the RMC Clinic Manager and RNs to ensure the clinic team is prepared for each procedure to include ensuring no calendar/facility conflicts and requirements are met.
- Provide support with surgical scheduling, to include benefit checks, medical clearance management, preparation of good faith estimates and other tasks as needed.
- Provide coverage for surgical scheduling as needed.
- Provide detailed explanation to patients about insurance coverage, authorization requirements and financial responsibility associated with their procedure.
- Promptly and efficiently responds to patient and physician inquiries, scheduling requests, and updating information.
- Handles correspondence related to procedures between patients, clinic and insurance companies.
- Other duties as assigned.
