We are looking for a Global Procurement Administrator in Panama City, Panama support the EMEA and APAC regions. The global procurement administrator will provide support for the business within the designated region with all procurement activities, ensure procurement policy compliance.
This role will transition in the future to Employee Expense Manager/Card Program Administrator which will include (but is not limited to) employee expense management and support, expense report audit, addressing employee policy inquiries and administering the Global Purchasing Card program.

Responsibilities:

WHAT YOU’LL BE DOING

  • Validate Purchase Requisition quality/completeness
  • Ensure purchases are initiated in the correct legal entity
  • Validate purchases are procurement policy compliant
  • Create Purchase Orders in Oracle Purchasing
  • Resolve discrepancies related to invoices placed on hold due to PO or receiving errors
  • Monitor PO reports, follow up with business to maintain accuracy
  • Train new users on Oracle iProcurement
  • Provide guidance to the business on Procurement policy and procedure
  • Create spend reports as requested

FUTURE RESPONSIBILITIES (TIMING TBD):

  • Manage Global Travel and Entertainment expenses
  • Manage Global T&E policy


    • Research/validate required updates

    • Respond to inquiries/review escalations
    • Perform employee expense report audits
    • Develop and review employee reimbursement activity reports
    • Identify and respond to policy violations, potential leakage and negative trends
    • Manage expense reporting tool – Concur


      • Respond to inquiries

      • Perform system updates
      • Annual mileage, changes to expense types, GL coding, audit rules, violation notices
      • Research system errors
      • Coordinate resolution with provider
      • Manage Corporate Purchasing Card program


        • Implement new markets as needed

        • Manage employee applications
        • Perform activity reviews
        • Identify and respond to delinquencies, potential leakage and negative trends
        • Review and follow up on monthly billing statements
        • Validate transaction compliance
        • Reviewed by cardholder/approved by Manager
        • Appropriate GL coding
        • Proper back up attached to each transaction
        • Provide monthly billing statements to Accounts Payable (ensure timely payments)
        • Cancel terminated employee accounts
          Qualifications:

        SKILLS NEEDED FOR THE ROLE:

        • Minimum 3 years relevant experience (Administration, Accounts Payable and/or Procurement)
        • Experience in a global multi-legal entity environment
        • Experience with Oracle R12 (preferred but not required)
        • Experience with NetSuite (preferred but not required)
        • Experience with SAP Concur (preferred but not required)
        • Self-starter, ability to work independently
        • Excellent oral and written communication skills
        • Must be well organized, ability to multi-task
        • Must have good computer skills (Outlook, Excel, Word)
