Description:
Job Purpose:
- Manage the administration of all productions and events at Gateway Theatre.
- Provide effective administration for all company productions and events.
- Co-ordinate all communications between the technical and facilities teams and hirers, to ensure
that hirers’ productions and events run smoothly.
Duties and Responsibilities:
- Liaise with clients to understand the technical and operational requirements for productions and
events.
- Liaise with the Technical, Sales, and Facilities teams to ensure that requirements for production
and events are met.
- Attend site recces for hirers with the Sales team.
- Arrange for and attend production meetings with hirers and relevant technical team member(s).
- Prepare and/or collate essential production documents (e.g. schedules, drawings/layouts,
logistical plans, contact sheets) for assigned events.
- Work with technical teams to ensure accuracy of venue hire documents, including specifications,
inventory, layouts, drawings, etc.
- Provide administrative support for recording of hours for full-time technical staff.
- Manage production deadlines, advising relevant departments as necessary.
- Assist with hirers’ set-up and tear-down if necessary.
- Assist with Front-of-House duties if necessary.
- You may be required to carry out other duties, which are within your capabilities and level of
responsibility, in order to meet the needs of the events or as assigned by supervisor and/or
management.
Requirements:
Preferred Skills/Experience
- Understanding of standard theatre working environments and processes.
- Experience with event organisation, coordination, or operations.
- Comprehensive experience of production process in theatre or similar performance arts
environment.
- A good knowledge of technical and site equipment.
- Proficient in Microsoft Office, especially Word and Excel. Familiarity with other spreadsheet and
word processing software such as Google Documents is a plus.
- Ability to do basic CAD drawings/ editing is not required, but will be highly valued.
