Position Summary
Reporting to the Program Officer, the Program Administrator participates in the administration of all aspects of the Faculty’s Continuing Dental Education Program (CDE) events from pre-planning, determining resource needs, pre-event marketing, and on-site coordination, to post-event follow up. The Program Administrator is responsible for day-to-day administrative tasks related to the core mission of McGill CDE, which is the provision of courses, conferences, symposia, workshops, WebCT courses and other types of activities with the goal of providing excellent professional education for practicing dentists - in Quebec as well as elsewhere in Canada and internationally.

Major duties, responsibilities, and skills

  • Assists the Program Officer in implementing and ensuring operational efficacies for all aspects of the CDE program.
  • Assists in the implementation of administrative policies and processes to support the Unit’s goals and objectives.
  • Adheres to multiple, overlapping deadlines, as well as the ongoing recording and organization of important documents and information.
  • Ensures each CDE event meets the recognition standards of the “American Dental Association Continuing Education Recognition Program” (ADA CERP) as outlined in the

Recognition Standards and Procedures

to ensure successful re-certification when renewal terms arrive (every 3 or 4 years).

  • Creates floorplans or draft proposals if required, reviews contracts, and analyzes event data both before and after events.
  • Conducts pre- and post-event evaluations using Cvent and McGill systems such as Banner to prepare reports on outcomes.
  • Uses several different software systems to organize event planning and schedules, sets up registration pages, prepares promotional material (emails, flyers, social media etc.), edits CDE website
  • Uses McGill systems such as McGill Market Place, Workday and others to pay and track remuneration and expenses for speakers and staff, as well as for purchases and payments for venues, catering, course materials and equipment.
  • Participates in the negotiation of agreements/contracts with sponsors, speakers, and venues.
  • Edits and designs promotional materials as required.
  • Communicates with vendors and may negotiate and book catering, venues (if required) and other items required for the program or events.
  • Fosters relationships with internal and external stakeholders.
  • Organizes meetings, records and prepares minutes, participates in discussions, and assists in implementing decisions for the program.
  • Communicates with internal/external stakeholders and clients in both English and French. Prepares the materials and documents required for each event including signs, participant folders, and dental materials for workshops and patient courses.
  • Participates in special projects.

Other Qualifying Skills And/Or Abilities:

  • Undergraduate degree in Business Administration, Marketing or related fields.
  • Certified Meeting Planner designation or minimum two years of experience in the field is an asset
  • Must be tech savvy, proficient in Excel with strong MS Office skills.
  • Excellent written and oral communication skills in both English and French are required
  • Proven analytical, planning, organizational, problem-solving, and decision-making skills.
  • Excellent interpersonal and service-oriented ability as well as tolerance and compassion in stressful situations.
  • Must be available outside of regular office hours to assist during events which are usually held on evenings and/or weekends.
  • Demonstrated experience working effectively with clients from diverse social, academic, economic, and cultural backgrounds.
  • High level of attention to detail, accuracy and confidentiality required.
  • Demonstrated ability to work under pressure on multiple projects, to multi-task, prioritize and meet strict deadlines with limited supervision.
  • Knowledge of the field of dentistry is an asset but not required.
