Chenega Enterprise Systems & Solutions, LLC, a Chenega Professional Services’ company, is looking for a Program Assistant to support US Agency for International Development (USAID), Middle East Bureau’s of Strategic Planning and Operations, Vetting team.

Responsibilities:
- Process all vetting requests, having followed all Vetting Support Unit (VSU) SOPs to ensure each step was completed.
- Demonstrate dependability and reliability of understanding assigned Mission Order on vetting
- Responsible for maintaining assigned vetting tracker(s), ensuring that they are accurate, complete and up-to-date on a daily basis.
- Demonstrate and maintain detailed knowledge and understanding of vetting Mission/Bureau Orders on vetting for assigned vetting program(s).
- Demonstrate the professional and technical skills to perform the work at the level of the position.
- Anticipate potential barriers to completing the work and identifies solutions to complete the work.
- Adjust to changing priorities
- Communicate complex, technical, or sensitive information in a clear, succinct, and understandable manner
- Use well-developed, professional, and business-like vocabulary commensurate with the level of the position and when drafting official and unofficial communications
- Identify and clarify the needs of the customer by ensuring that receipt of Partners’ vetting requests are acknowledged, entered into the VSU tracker and processed in a timely and accurate manner
- Provide professional customer service to internal and external customers by ensuring that instructions and/or guidance are by the Vetting Officials are adhered to, responding to Partners’ inquiries in a timely manner; and processing their requests in an accurate and timely manner
- Follow through consistently on customer requests
- Work closely with the Program Manager, peers, and government personnel.
- The Program Assistant will assist, identify, analyze, update, support, schedule, organize, maintain, and manage the following tasks:
- Administrative functions such as supporting project/program tracking, data analysis and documentation, program document preparation and presentations, budget and field support tracking
- Perform clerical functions such as control and filing/library maintenance, portfolio review support, management systems support, handling information requests, program file management, preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings (technical and program related; conferences and events planning).
- Manage multiple competing priorities through effective organization and communication.
- Provide regular and timely status reports to internal management team.
- Must be onsite 3 days per week or more as directed by the office.
Qualifications:
- High School Diploma
- Minimum of one-year professional administrative support experience.
- Must be able to obtain a Facility Access Clearance.
- Program Assistant requires proven proficiency in the use of Microsoft Office, internet, e-mail application, and database applications as well as proficiency in administrative and clerical functions
- Strong communication and organizational skills

- Ability to work under tight deadlines and handle multiple/detail-oriented tasks
- Effective interpersonal skills, especially with senior leadership.
