JOB SUMMARY

The School of Communication Sciences and Disorders is one of ten units that make up the Faculty of Health and offers nationally accredited Master’s degrees in both audiology and speech-language pathology. The School’s Community Services—Dalhousie Hearing Aid Assistance Program (CS-DHAAP) provides audiologic services and hearing aids to individuals who receive Income Assistance Benefits from the Nova Scotia Department of Community Services (DCS) while offering training opportunities for the School’s students. Reporting to the CS-DHAAP Program Manager, the CS-DHAAP Program Assistant supports patients and audiologists to ensure the program functions at an exceptionally high level of service.

REQUIRED QUALIFICATIONS

  • Business/office/medical administration diploma with approximately two to three years’ related experience (or equivalent combination of training and experience).
  • Proficiency in MS Office (Word and Excel).
  • Excellent teamwork and interpersonal skills.
  • Exemplary demonstrated communication skills (verbal and written) with the ability to interact with, support, and clearly convey information to a wide range of individuals with complex and diverse needs.
  • Strong attention to detail, multi-tasking and organizational skills.

Responsibilities:

  • Schedule patient appointments, ensuring the clinic is fully booked wherever possible. Mail appointment notices and general program information to new applicants. Make reminder phone calls for upcoming appointments. Triage patient requests in consultation with the Program Manager.
  • Act as the first point of contact for patients with diverse and complex needs. Respond to patient, program staff and learner inquiries daily by email, phone, or in-person.
  • Confirm supports required for appointments (e.g., transportation, language interpreter, support personnel), liaising with DCS, caseworkers and community support agencies for assistance as needed.
  • Assist with student and clinician schedules/sign-up sheets for clinic participation. Arrange staff and case consultation meetings as needed.
  • Maintain Excel databases for all applicants including student participation, appointment tracking, patient demographics, status of applications. Document any patient related contact in electronic medical chart.
  • Liaise with SCSD receptionist regarding patient appointments and mailing/receiving packages as needed.
