DESCRIPTION OF JOB

A Program Assistant provides administrative support to the office of the Assistant Director of the Corrections Training Academy in matters concerning personnel activity, payroll issues, compilation of reports and publications for the administrative offices of CTA. Keep staff informed of publications and other information to be disseminated. Acts independently to organize and process work. Makes decisions based on logic and application of
prescribed alternatives. Exchanges and collects information in order to solve problems, errors or complaints.

MINIMUM QUALIFICATIONS

Four years of *general clerical experience. This experience must be clearly described, in your own words, within the work experience section of your application to meet this requirement.

  • General clerical duties may include the accurate and timely completion of processing documents and information; data entry; printing, scanning, and making copies; scheduling; accepting reservations or registrations; arrange meeting logistics and equipment; reception and intake; record keeping, filing and maintenance; answering multi-line phones and relaying messages; and general administrative tasks in an office support environment.

Responsibilities:

  • Complete and track personnel requisitions to include coordinating interview boards and monitoring the selection process, procure and monitor PDQ updates, reclassifications and reallocations;
  • Maintains confidentiality of information obtained through job assignment;
  • Process all personnel actions by completing required paperwork and forwarding to appropriate departments;
  • Update the HRMES personnel database as changes occur to ensure all PDQ’s and supervisor assignments are accurate;
  • Position provides technical and professional program assistance;
  • Assists administrators and other professionals within the work unit;
  • Position serves as the primary liaison between the work unit staff, and program clientele;
  • Analyzes, evaluates, develops, and implements work processes to achieve program efficiency and deliver needed services effectively;
  • Researches, analyzes, compiles, and prepares data for consideration and presentation by executives and committees;
  • Position may provide assistance with technical budget detail matter such as preparing budget documents, and estimating budget needs;
  • Other duties, as assigned.
