POSITION SUMMARY

Provides administrative support to department specific programs and initiatives.

EDUCATION

  • High School Diploma

EXPERIENCE

Approximately 2 years of related experience.

KNOWLEDGE, SKILLS AND ABILITIES

  • Demonstrated proficiency in Microsoft Office Suite, including Word, Excel and PowerPoint.
  • Well-organized and detail-oriented.
  • Ability to work independently as well as part of a team.
  • Ability to prioritize tasks, maintain confidentiality, and exercise good judgment in a dynamic, fast-paced environment.
  • Effective oral and written communication skills.
  • Strong problem-solving skills.

Responsibilities:

  • Assists with the planning, organization and implementation of program-related activities and events.
  • Coordinates calendars and schedules appointments and meetings. Prioritizes requests for meetings and coordinates the necessary arrangements for meetings.
  • May represent the program at meetings and/or conduct trainings within the community if needed.
  • If applicable, screens and responds to consultation requests associated with the program. Facilitates outside resources through governmental and community-based agencies as needed.
  • Maintains inventory of supplies and/or equipment. May order supplies/equipment as authorized or ensures that needs are escalated appropriately. Receives supply orders and confirms accuracy of delivery. May assist with cost control.
  • Responsible for procurement activities related to goods, services, and/or equipment as needed.
  • Responsible for disbursement/reimbursement activities as needed.
  • May be responsible for managing program budgets.
  • Responsible for creating and/or maintaining databases. Assists with data analysis.
  • Performs other related tasks such as assisting in organizing and duplicating materials, filing, editing documents/presentations, report writing, outreach activities and meeting minutes.
