Description:
Job Summary:
The Program Assistant for the Neurosurgery Department provides essential administrative and operational support, ensuring the efficient execution of departmental activities. This role is integral to managing the scheduling of surgical procedures and appointments, coordinating with third-party insurance providers, maintaining multiple calendars for surgeons, and supporting the department’s day-to-day operations. The Program Assistant will also be responsible for obtaining surgical authorizations, scheduling imaging studies (such as MRI, MRA, and CT scans), and providing support across multiple divisions within the department.
Key Responsibilities:
- Scheduling:
o Coordinate and schedule surgical procedures and patient appointments with precision and efficiency, ensuring optimal use of operating room resources.
o Arrange and confirm imaging appointments, including MRI, MRA, and CT scans.
o Manage and maintain multiple calendars for surgeons, ensuring all surgical cases, meetings, and other departmental engagements are scheduled appropriately.
- Communication:
o Serve as the primary liaison between the Neurosurgery Department and third-party insurance providers.
o Communicate effectively to obtain necessary images, surgical authorizations, and other program-related approvals in a timely manner.
o Interface with patients, healthcare providers, external partners, and other departments to facilitate smooth and effective communication.
- Administrative Support:
o Provide comprehensive administrative support to the Neurosurgery Department, including document preparation, data entry, and record-keeping.
o Maintain accurate and organized filing systems, both electronic and physical, to support department operations.
o Assist with the preparation and submission of insurance claims and other program-related documentation.
- Coverage and Support:
o Offer administrative and program support across multiple divisions within the Neurosurgery Department, adapting to the needs of different teams and ensuring consistent workflow.
o Provide coverage for other administrative roles within the department as required.
Qualifications:
- Education: High school diploma or equivalent required. Bachelor’s degree Preferred
- Experience:
o Minimum of 4 years of experience in a surgical department, with a strong focus on scheduling surgeries and managing related administrative tasks.
o Proven experience with surgical scheduling software and familiarity with the specific needs of surgical departments.
o In-depth knowledge of neuroscience medical terminology and procedures is essential.
o Prior experience working in a neurosurgery department or similar specialty is highly desirable.
- Skills:
o Knowledge of Microsoft Office Suite (Word, Excel, Outlook, etc.).
o Strong organizational skills and attention to detail.
o Excellent verbal and written communication skills.
o Ability to manage multiple tasks and projects simultaneously.
o Strong problem-solving abilities and the capacity to work under pressure.
o Familiarity with insurance processes and requirements for obtaining surgical authorizations.
