Halifax Regional Municipality is inviting applications for the permanent, full-time position of Program Assistant, Safety & Training in Halifax Transit. Reporting to the Director, Employee Support and Development, the Program Assistant, Safety & Training supports the safety and training program areas at Halifax Transit, performing confidential administrative services in areas related to collision investigation, claims and appeals; training registration, scheduling and records management; and occupational health and safety. The incumbent should be proactive, take initiative, and able to work in a confidential environment requiring a high level of discretion.

EDUCATION & EXPERIENCE:

  • Grade 12 (or equivalent) plus post-secondary education in administration from a recognized educational institution.
  • Three years of related administrative experience.
  • Administrative experience in safety and/or training is an asset.
  • Experience working in a unionized environment is an asset.
  • Experience working in a Transit environment is an asset.

TECHNICAL / JOB SPECIFIC KNOWLEDGE AND ABILITIES:

  • Intermediate to advanced proficiency with office software in the areas of word processing, spreadsheet, presentation, and email/calendar programs. Proficiency with databases is an asset.
  • Experience using SAP is an asset.
  • Thorough knowledge of current and effective office systems and procedures and information management principles.
  • Excellent organizational skills with proven ability to prioritize competing priorities.
  • Security Clearance Requirements: Applicants may be required to complete an employment security screening check.
    Please note – Testing may be conducted as a component of the selection process to assess technical and job specific knowledge. Candidates, who are selected for testing, may be tested in a group setting, scheduled at the employer’s discretion.     HOURS OF WORK: 8:00am – 4:00pm, Monday – Friday, 35 hours per week. Some overtime may be required.
    WORK LOCATION: Burnside Transit Centre, 200 Ilsley Avenue, Dartmouth, NS.
    SALARY: NU1, Non-Union, $43,790 to $56,670. Salary to commensurate on education and experience.

Responsibilities:

  • Perform registrar functions for Halifax Transit’s accredited training program.
  • Assist Senior Trainer with developing annual training calendar; maintain training schedule including tracking and communicating changes to delivery schedule; prepare training notices to communicate training opportunities to employees.
  • Register participants in training courses for continuous and remedial training, record and track attendance.
  • Work with Senior Trainer and relevant Supervisors to register employees in mandatory training, minimizing impact to service schedules while ensuring timely delivery of required training.
  • Prepare and issue certificates of completion for participants in training courses
  • Assist with training logistics such as preparing copies of training materials, booking training rooms, etc.
  • Provide support for safety awards program.
  • Collect and track eligibility data from various divisions within Halifax Transit for the annual safety awards program, ensuring accuracy of information.
  • Assist with event planning and related logistics for the safety awards.
  • Liaise with Safety Services Nova Scotia to coordinate procurement of safety award pins.
  • Maintain collision database, enter data, and assist in the preparation of reports.
  • Maintain accident/incident, claims and safety-related records for Metro Transit. Prepares individual letters to employees, which includes confidential information, and makes requests to collect video and other evidence to support the investigation process.
  • Compile information for safety and training reports and presentations.
  • Provide support to accident appeal process.
  • Receive and log appeals
  • Schedule meetings for the appeal committee
  • Respond to questions from employees
  • Assist the Accident and Claims Coordinator with ensuring WCB reports are complete and submitted to the Worker’s Compensation Board as per legislative requirements.
  • Provide back-up administrative support to the Joint Occupational Health and Safety Committee, including coordinating meeting schedules; recording of minutes; tracking of action items; and the distribution of communications.
  • Perform other related duties as required.
