DESCRIPTION

The Program Coordinator of the Continuing Legal Education department will provide primary customer service, registration, and fiscal duties for the Law CLE operations. The Program Coordinator will also work on other programs as needed by the Director.

QUALIFICATIONS

  • A bachelor’s degree and one year of relevant work experience.
  • Proficient in MS Office (Word, Excel, Outlook, PowerPoint).
  • Excellent verbal and written communication skills.
  • Professional interpersonal skills and ability to work with data of a confidential nature.
  • Ability to work independently.
  • Detail oriented with strong organizational skills, experience managing multiple tasks and projects simultaneously and prioritizing work assignments.
  • Ability to provide superior service to the department’s constituency.
  • Professional attire, attitude, and demeanor.

PREFERRED QUALIFICATIONS

  • Experience with Banner, Argos Enterprise Reporting System, SPACES, and EvE registration system.

Responsibilities:

  • Serves as main point of contact for the CLE office including:
    o Answering the phone
    o Monitoring Law CLE email
    o Assisting with seminar registration/cancellations
    o Accepting deliveries

o Equipment repair

  • Administrative duties include but are not limited to:

o Supervises student worker(s) assigned to assist with continuing education.
o Maintain Law CLE calendar and monitor Law CLE email account.
o Prepares coordinates meetings and prepares materials for the CLE committee members.
o Evaluates and refines current office procedures.
o Keeps updated office manual with links to key files and instructions on computer programs.
o Assesses and maintains office supply inventory and seminar inventory.
o Maintains and organizes electronic files on the shared drive.

o Contributes to the design of new courses.

  • Event planning and coordination of most aspects of CLE seminar activities both on and off campus including but not limited to:

o Coordinate with director and marketing to promote CLE events.
o Contribute to planning and development of new CLE course offerings.
o Participant registration/payment, cancellation/refunding by phone and online.

o Management of participant registration list and guest speaker list (including the speaker’s contact information).

  • ARGOS information reporting including:

o Revenue reports

o ASB and attendance reports

  • EVE registration system including:

o Creating courses for attendee registration and payment

o Monitoring registration/cancellation

  • Event coordination including but not limited to:

o Space management such as space reservation, coordination, and setup (day of seminar), signage and parking reservations
o Coordinate with catering vendors including ensure proper delivery and clean up.
o Event table management including sign-in sheet, nametags, distribution of event program, etc.

o Input CLE credits for in/out-of-state participants to the Alabama State Bar (ASB) website.

  • Record maintenance includes but not limited to:

o Maintains CLE records/documentation for five years. (CLE materials, registration, finance, and attendance)
o Maintain ongoing list of seminars speakers.
o Maintains physical copies of previous seminar brochures.

o Designs and prepares other analytical reports on prior seminars and online courses.

  • Financial responsibilities

o Processes travel reimbursement checks to speakers for expenses incurred; reserves, and is the contact for, hotel reservations for program speakers.

o Processes all monetary transfers, including check, credit card, online payments, deposits, purchases, reimbursements, and refunds daily.

  • Other administrative support

o Provides administrative support to other programs in consultation with the CLE director.
