JOB SUMMARY: Coordinates the daily functions of the department, including working with clients, staff direction and completion of administrative duties for assigned department(s).
JOB REQUIREMENTS:
- Education /Background: Minimum of a High School Diploma or equivalent with at least 5 years of relevant experience or a Bachelor’s degree in related field with at least one (1) year of relevant experience. Supervisory experience desirable. Bilingual preferred.
- Job Knowledge: Familiarity with program systems and resources; must be able to recognize potential problems/issues and possess excellent resolution skills. Must maintain cultural competency and respect; must be able to work within team environment. Must be fluent in Microsoft Office Applications.
- Working Conditions/Physical Demands Must be able to work in a fast-paced environment with moderate interruptions. Must be able to stoop, bend, squat, and ambulate over uneven floor surfaces including stairs and steps. Primarily office work, travel within area on a frequent basis, travel to other areas of state as needed. Evening and weekend hours required as needed. Must be able to visually and auditory assess and interact with clients to ensure their safety and wellbeing. Must be able to lift up to 25 pounds.

- Valid AZ driver’s license, reliable transportation and ability to show proof of registration/insurance.
- You must be 21 years of age or older to drive on behalf of Catholic Charities.
- Level One Fingerprint clearance or ability to obtain fingerprint clearance; must maintain clearance.
- Must have or complete within 90 days of hire, training in CPR and First Aid and remain current in the certification.
Responsibilities:
ESSENTIAL DUTIES:
- Provides oversight to the daily activities of staff within department. Works with staff to assign cases, resolve issues, train and otherwise focus on the smooth operation of the unit.
- Coordinates services with supervisor and other departments/units as needed or directed.
- Provides support and assistance to Reception and Placement Case Managers during heavy refugee arrivals: assists with transportation and physical carrying and movement of home items and setting up apartments for clients; assists with purchasing, transporting, and putting away groceries in new apartments; assists with airport reception and transportation of newly arrived refugees and their luggage to the apartment.
- Acts as liaison within organization, answering questions and resolving issues as they arise with the assistance and guidance of supervisor. Works in conjunction with supervisor to ensure department responses are appropriate and accurate. Ensures documentation as outlined by contract, agency guidelines or other established procedures.
- Supervises Reception and Placement Case Managers in accordance with agency personnel practices including recruitment, training, performance evaluation, guidance, etc.
- Participates in the process of ongoing personal and professional development.
- Maintains comprehensive communication among all contacts (internal and external).
- Models professional standards and ethics in accordance with agency philosophy.
- May carry caseload within department as assigned or needed.
- Identifies cases with ongoing or critical needs and makes referral recommendations to Program Manager; reviews medical and behavioral health needs of clients and staff as appropriate to Program Manager. Provides updates on vulnerable cases to Program Manager.
- Assists in monitoring of client direct assistance; reviews client expenses and ensures funding is utilized appropriately.
- Partners with Parish and Community Development Supervisor to identify refugee families to be paired with volunteers; advocates for client needs via donations, in-kind support.
- Responsible for completing 30 day home visits of clients to ensure services are provided as required.
- Provides additional oversight to cases with attached refugee minors; conducts home visits on cases, reviews and approves attached minor reports and submits to Program Manager for approval.
- Provide a broad range of administrative and supervisory functions including monthly supervisory file review, R&P 30 Day home visits, USCCB Quarterly report, client grievance/complaint resolution.
- Provide oversight and guidance for volunteers assigned to program.
- Participate in and support PQI initiatives to include attending appropriate program leadership meetings and attending all relevant PQI meetings to ensure organization-wide involvement in PQI and the development of program performance measurements. Supervisors must also develop and provide appropriate staff training and support the recognition of accomplishments relative to PQI.
- Promote ongoing commitment to excellence and continual quality improvement to ensure the highest quality of services to our staff and clients.
