Kirksey is looking for a Project Accounting Coordinator to join our Houston office.
The Project Accounting Coordinator is responsible for supporting the accounting team and providing administrative support to project teams within the firm. This role includes maintaining project documentation, database integrity for projects, assisting with billing and invoicing, ensuring compliance with accounting standards, and coordinating with project managers to ensure accurate project set up and contract tracking. The ideal candidate is detail-oriented, possesses strong organizational skills, and able to manage multiple tasks in a fast paced, deadline driven environment.

Requirements:

  • 2-4 years of experience in project administrative role within an architecture, engineering, or construction firm preferred.
  • Proficiency with accounting software special consideration for Deltek Vision/Vantagepoint experience.
  • Proficiency with Microsoft Office (especially Excel).
  • Excellent organizational and multitasking abilities, with strong attention to detail.
  • Effective communication and interpersonal skills, with the ability to work collaboratively in a team environment.
  • Ability to prioritize tasks, meet deadlines, and handle sensitive information confidentially

Responsibilities:

  • Assist with the setup and maintenance of projects in Deltek Vantagepoint.
  • Organize and maintain project documentation needed for financial management of the projects including contracts, consultant contracts, additional services and other correspondence.
  • Help track changes and updates to project scope, contracts and documentation ensuring clear communication between project managers and accounting.
  • Ensure that all project-related data is accurate and up-to-date.
  • Assist project accountant with monthly billings preparation.
  • Ensure compliance with internal policies, client contracts, and regulatory requirements.
  • Assist with month-end and year-end closing activities related to project accounting.
  • Serve as a liaison between the accounting team and project managers and/or market directors
  • Communicate with project managers and market directors regarding accounting matters, including invoice approvals and deadlines.
  • Participate in project meetings to provide support for project managers and project accountants.
  • Manage project insurance certificates.
  • Other duties as assigned.
