Responsibilities:

ABOUT THE ROLE:

As a Project Administrator with Fleetwood Building Solutions you will play a pivotal role within our commercial construction team. You will be responsible for providing effective and timely administrative support to the business across a diverse range of projects. This position will be based out of our High Wycombe office and will provide clear career development pathways within contract administration and project management.

THE KEY RESPONSIBILITIES OF THE ROLE ARE TO:

  • Ensure all project information and documentation is generated/received, maintained and processed in a timely and accurate manner
  • Develop and maintain effective working relationships with all program/project stakeholders, internal and external to enable the performance of this position
  • Producing regular and ad hoc reports on project status, including outstanding documentation for Management and Clients
  • Monitor and compile all certification requirements for building act compliance for project completion
  • Compile/Archive project documentation for site activities including safety and quality documents
  • Control, Collate and monitor customer invoicing, progress payment information and submission of invoices to clients
  • Generate, follow up, maintain, and process documentation
  • Set up Job Creation Requests (JCR) in accordance with Internal Process
  • Assist project managers with job budgets, expenditure and internal processes.
  • Ensure job budgets align with the customer orders, highlighting discrepancies as required
  • Escalate matters requiring management decisions and/or attention
  • Assist in the review and development of administrative systems and procedures
  • Ensure compliance with Fleetwood policies and procedures at all times
  • Provide feedback and recommendations relating to work processes and equipment/service suppliers
  • Attending and minuting scheduled meetings, ensuring timely distribution

TO BE SUCCESSFUL IN THIS ROLE YOU WILL DEMONSTRATE:

  • Experience in contract/project administration, preferably in the construction or manufacturing sector
  • Excellent written and verbal communication skills
  • Time management skills with an ability to work under pressure and plan and priorities workloads in order to meet deadlines
  • Advanced clerical and administrative skills including sound analytical skills and accurate record keeping
  • Intermediate computer literacy including Microsoft suite of programs (Word, Outlook, Excel)
  • Commitment to the efficient and effective delivery of quality customer service
  • A basic understanding of the Building Certification process and project handover requirements
  • Intermediate financial administration knowledge (e.g. Purchase Orders, invoicing, working to budgets)
  • Attention to detail and an ability to prioritise and manage workload
