JOB SUMMARY

J Coffey Construction Limited is seeking a Project Administrator on a temporary basis for 7 weeks. The successful candidate will manage the smooth running of the office and provide support to the site teams and wider groups, including timesheet management, delivery coordination, travel and accommodation arrangements, document control, compliance checking, visitor management, work allocation tracking, office management and general administration.

  • Proficiency in Microsoft Office Suite and relevant project management software.
  • Excellent written and verbal communication skills.
  • Attention to detail and problem-solving aptitude.
  • Knowledge of construction industry processes and terminology is an advantage.
  • Ability to thrive in a fast-paced, team-oriented construction environment.
  • Experience in the construction industry beneficial but not required.

Responsibilities:

  • Collect, review, and process employee timesheets for accuracy and timely submission.
  • Resolve discrepancies and liaise with payroll or site supervisors as necessary.
  • Schedule and manage delivery bookings for construction site materials.
  • Maintain accurate records of delivery dockets and ensure proper documentation.
  • Coordinate bookings for flights, accommodation, and transportation for project staff and visitors.
  • Ensure all travel arrangements are cost-effective and align with company policies.
  • Organize, maintain, and update project documents, including contracts, reports, and compliance records.
  • Implement and manage version control for critical documentation.
  • Verify and document employees’ right-to-work status, ensuring compliance with legal and company requirements.
  • Assist in maintaining compliance records for audits and inspections.
  • Book in visitors and manage site access arrangements.
  • Monitor and record work assignments completed by supervisors and teams.
  • Prepare and share progress reports with project managers.
  • Oversee daily operations of the site office, including ordering supplies and maintaining equipment.
  • Act as the primary point of contact for administrative support on-site.
  • Handle correspondence, meeting minutes, and communication for the project team.
  • Assist with preparing reports, schedules, and project updates as required.
