MINIMUM REQUIREMENTS
- Grade 12
- Office management or Project Management diploma
- Minimum of 3 years project management experience within NGO environment coupled with data management and reporting experience
- Valid Code 08 license
- Fluency in English and isiZulu language
- Criminal clear
Responsibilities:
PURPOSE OF THE POSITION:
To support and enhance the Programme Director and management team’s effectiveness using a variety of administrative, project management, communication & organizational skills
DUTIES AND RESPONSIBILITIES
- Office administration
- Direct calls to relevant staff member
- Attends staff and team meetings
- Prepare attendance register, agenda and set up of boardroom
- Take minutes for meetings
- Circulate meeting minutes in an efficient and timeously manner
- Type up documents, collate and distribute
- Ensure that the filling system is in place and efficiently maintained
- Ensure all equipment in the reception area is kept in good working order and maintained /serviced when required
- Remain aware of stock levels of stationery, books, leaflets, and order as required
- Maintain the fixed assets register of all programme assets
- Ensure maintenance of all assets
- Monitor all equipment and supplies
- Receive quotes for suppliers and submit to finance for authorization
- Conduct petty cash analysis and reconcile
- Prepare invoices for processing and payment to finance department
- Ensure that creditors are paid on time
- Analyse and reconcile creditor’s statement
- Ordering of goods and services
- Assist with the coordination of training
- Collate and forward all HR and related forms to the regional HR including leave forms, signed contracts, timesheets and other HR information
