You will play a crucial role in supporting the planning, execution, and completion of various projects within the organization. This position requires a detail-oriented individual with strong organizational and communication skills, capable of coordinating team activities, managing schedules, and ensuring that project milestones are met. Your ability to assist in the identification and implementation of efficient processes will be key to fostering a collaborative and productive work environment.
WHAT YOU BRING / SKILLS, CAPABILITIES
- Professional Team Assistant experience level required.
- Graduated with a professional degree.
- Very good English language skills. Professional written and verbal communication skills.
- Very good knowledge of MS Office (Outlook, Word, Excel, PowerPoint, MS Teams, etc.) as well as SE-internal tools (E2E Travel, Ariba, MDG, SAP, etc.).
- Adaptable, innovative, and willing to learn new skills.
- Attention to detail, stress resistance, and time management skills.
Responsibilities:
HOW YOU’LL MAKE AN IMPACT / RESPONSIBILITIES
- Assist staff, managers, engineers, and other team members with work activities.
- Assist in managing the office operations, and arranging internal and external meetings, including meeting room bookings, IT tools checks, catering services, etc.
- Maintain office inventory and procurement of office supplies as needed.
- Organize internal and external events and represent the company as needed.
- Assist staff with travel arrangements and timely submittal of expense reports.
- On- and off-boarding of staff, including administrative processing (company ID, access authorizations), as well as ordering IT equipment for the team and supporting IT administration (drive management, access rights).
- Maintain office and department-wide communications.
- Maintain office templates and tools updated.
- Maintain electronic and paper records, ensuring information is organized and easily accessible.
- Coordinate domestic and international shipping and mail services as needed.
- Ensure the team has timely access to tools and supplies needed for the job.
- Supervise and coordinate the schedules of multiple staff members.
- Handle correspondence, including responding when appropriate in English (e-mails, phone calls, and meeting requests) and coordinate the calendar to prioritize a high volume of appointments and travel requirements.
- Look after internal and external visitors and coordinate meetings including the preparation of agendas, presentation material/pre-reads, and minutes of meetings.
- Type, compile, and prepare reports, graphics, and presentations as part of individual strategic projects.
- Comply with all internal and external rules and regulations, including custom export control, RI rules, department-specific work instructions, provisions of the Integrated Management System manual, etc.
