YOUR CAPABILITIES AND CREDENTIALS

  • Prior knowledge of documentation / revision control is an asset.
  • Prior experience in a project assistant role is a plus.
  • Demonstrated ability to handle multiple priorities and assignments through strong organizational skills.
  • Excellent written and verbal communications required.
  • Strong analytical skills.
  • Exceptional attention to detail, and resourcefulness.
  • Must have good interpersonal skills.
  • Must be able to successfully work both collaboratively and independently.
  • Experience with MS Office including Word, PowerPoint, Excel, Teams, and Access.
  • Strong project financial capabilities obtained through experience or education.

EDUCATION AND EXPERIENCE

  • Technical degree/diploma/certificate or equivalent in related field; or equivalent combination of education and experience.
  • A minimum of 2 years of relevant project coordination experience.
  • Experience working in a consulting engineering environment (EPCM), Capital Project/Program Management environment, or Construction Contracting environment or Registration as an EIT or Intern Architect with applicable experience.

Responsibilities:

  • Assist with establishing project functions including document tracking, deliverables scheduling and management, minutes, RFIs, submittals, change logs and other communication tools.
  • Work closely with the project team to maintain a current and accurate understanding of project status, issues and changes.
  • Understand and optimize current processes and systems.
  • Provide support to project management and team members to adhere to client standards, subconsultant contract management, Stantec procedures, and document management.
  • Support business development functions.
  • Ensure compliance to established project schedules by coordinating timely document and deliverable submissions: specification packages, reports, RFIs, minutes, submittals tracking, and other required documentation. Report issues to the Project Manager as they are identified.
  • Assist with new project set up documentation.
  • Maintain project best practices.
  • Prepare project progress reports, and other required project documentation such as project plans, quality plans, HSSE plans, etc.
  • Track RFIs, change logs and submittals.
  • Support Senior Leaders and other team members to promote success in the business.
