Manage a series of retail fit-outs from end to end, including design management, construction management, move management, and post project management. Be responsible for the outlets’ renovation and the consistency of every outlets’ image. Involve in providing assessment of a propose new site. Liaise with Landlords in ensuring the new company branding is explained. Deal with contractor and suppliers in ensuring outlet fixtures and equipment are maintained.
Ensure all agreed expectations are established and achieved by providing direct support to the operations department and to assist to reduce the budget given for renovation and equipment. He/She must be able to provide an accurate value for renovation and equipment cost when tendering for a new site.
Responsible for all tenancy activities and develop long term relationships with landlords. Liaise with landlords for tenancy renewal meet-up, reinstatement, negotiate on rates and any other matters relating to tenancy and operations/ outlets issues. Analysing the current market trends, concept models and competitors, to ensure the brands continue to grow in store presence.
Oversee maintenance team by managing and building a strong and productive team who consistently uphold Polar Vision, Missions and Core Values that ultimately contribute to the growth of the Company.
Ensure maintenance work for HQ Office, retail outlets and B2B customers are properly carried out.
The scope of work includes ad hoc task but is not limited to the followings:
Build-up Store/Store refresher/Store re-instatement
Initiate site survey of site and conduct initial measurements
Develop full set of design proposal, 3D renderings, detailed drawings for Tenancy fitting-out and Design requirement
Work with Operations team on design layout and work flow
Liaison with landlord on final design and fit-out work for approval
Liaise with landlords and external parties with regards to renovation workflow
Source, negotiate and purchase material/equipment for new store
Prepare bill of quantity (BQ), call for tenders, evaluation and make recommendations for tender awards for consultancy and other miscellaneous works
Review tender documents, evaluate and make recommendations for construction/fitting out tenders
Work with main contractors to ensure materials and timeline are follow through
Manage project timeline from build to opening
Weekly or regular site meeting to monitor progress
Review, check and maintain records of all drawings and documents relevant to construction
Manage project closeout and post contract activities to review and check construction
Conduct risk assessment audits for the outlets that requires Bizsafe level certification
Conduct risk assessment meetings with relevant departments
Plan for festive kiosk and execute set up of booth
Coordinate between external parties and Finance department for all invoices and payments
Leasing
Liaise with Mall’s Management/Hospital’s Management for tenancy renewal meet-up, reinstatement, negotiate on rates and any other matters relating to tenancy and operations/outlets issues
Source and evaluate potential locations and conduct site inspections
Secure new tenancies, identify market segments and prospects
Stay current with the real estate developments in Singapore and lookout for potential and suitable sites for the brands
Develop long term relationships with landlords
Keep track of lease renewal and update leasing database regularly and to maintain with strict confidentiality
Keep track of the Letter of Offer and Lease Agreement and to arrange for Directors’ signatures and ensure timely submission of documents.
Equipment/Maintenance
Source, negotiate and purchase equipment for Retail and B2B
Maintain, update and monitors the stock levels and ensures the availability of F&B equipment in the event of equipment breakdown
Provide local support for equipment move request or repair all internal customers (Operations, B2B and office)
Coordinate a team of technicians to engage for emergency work
Schedule daily operation on repair and troubleshoot of equipment
Maintain records of all repair and maintenance works, spare part list, warehouse list and other admin ad-hoc documents

REQUIREMENTS:

Diploma or Degree in Interior Design/Project Management with a minimum of 3 years’ relevant working experience in project co-ordination and maintenance, preferably in bakery or food manufacturing environment
Proficient in Adobe AutoCAD, 3D Studio Max, Google’s Sketch up, Photoshop, Adobe illustrator is a must
Ability to lead, develop and maintain respectful and trusting relationship
A self-motivated person with high integrity
Possess good communication skills – both written and verbal
