We provide our clients with professional services, specialised aerospace and defence sales, delivery, and operational subject matter expertise. WHO WE ARE SUPPORTING

The NATO Communication and Information Agency (NCIA) is responsible for providing secure and effective communications and information technology (IT) services to NATO’s member countries and its partners. The agency was established in 2012 and is headquartered in Brussels, Belgium.

The NCIA provides a wide range of services, including:

  • Cyber Security: The NCIA provides advanced cybersecurity solutions to protect NATO’s communication networks and information systems against cyber threats.
  • Command and Control Systems: The NCIA develops and maintains the systems used by NATO’s military commanders to plan and execute operations.
  • Satellite Communications: The NCIA provides satellite communications services to enable secure and reliable communications between NATO forces.
  • Electronic Warfare: The NCIA provides electronic warfare services to support NATO’s mission to detect, deny, and defeat threats to its communication networks.
  • Information Management: The NCIA manages NATO’s information technology infrastructure, including its databases, applications, and servers.

Overall, the NCIA plays a critical role in ensuring the security and effectiveness of NATO’s communication and information technology capabilities.

ESSENTIAL SKILLS AND EXPERIENCE

  • Minimum 7 years of experience in a project support role.
  • Strong organizational and time management skills with the ability to prioritize multiple tasks.
  • Excellent communication, interpersonal, and collaboration skills.
  • Experience in agile methodologies (Scrum, Kanban, etc.) and a deep understanding of agile principles.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Experience with project management software (e.g. MS Project, ServiceNow).
  • Experience with content management systems (e.g. MS SharePoint)
  • Ability to work independently and as part of a team

DESIRABLE SKILLS AND EXPERIENCE

  • Certification in project management (e.g. PRINCE2)
  • Proficiency in business intelligence tools such as Power BI is desirable.
  • Experience using Jira for project tracking, issue management, and agile workflow management
  • Working in an international environment comprising both military and civilian elements.

EDUCATION

  • Bachelor’s degree in business administration, project management or a related field (or equivalent experience).

Responsibilities:

ROLE BACKGROUND

NCI Agency is looking for a Project Management Expert to support NATO Programme of Work (PoW) project execution and relevant activities The NCI Agency, as the main ICT service provider in NATO and the main technical entity is providing subject matter expertise under the technical programmes of work with several NATO entities. The candidate will provide project management support and expertise to the projects that are being executed by Chief Technology Office (CTO).

ROLE DUTIES AND RESPONSIBILITIES

  • Support NCI Agency in the NATO Programmes of Work with several NATO bodies.
  • Organize and participate to the weekly project meetings held in the NATO HQ either online or faceto-face.
  • Provide minutes and notes from the meetings and events. Deliver feedback reports to the project sponsor.
  • Update project plan in ServiceNow and maintain the project portal on SharePoint portal.
  • Develop and maintain comprehensive project documentation, including project management plans, quarterly status reports and weekly project update slides.
  • Day-to-day support portfolio and project management with all aspects of project coordination, including planning, scheduling, and budgeting.
  • Manage project backlogs and prioritize tasks in collaboration with product owners.
  • Maintain a risk log to track identified risks, mitigation plans, and status.
  • Act as a Work Package lead, overseeing specific project components and ensuring their successful delivery.
  • Collaborate with agile teams to ensure alignment with project and work package objectives.
  • Update and track main task list and tasker trackers assigned to the team.
  • Act as a power user to support Community of Interest portal administration (e.g task list update, publication index update)
