Description:

We are seeking a highly organized and detail-oriented Project Manager to oversee the execution of projects from start to finish at our Stonewall, Manitoba location. This individual will be responsible for ensuring effective communication between teams, managing schedules, overseeing safety protocols, and ensuring the success of client projects. The Project Manager will play a crucial role in coordinating tasks between the sales and operations teams, leading project meetings, and maintaining a high level of client satisfaction.

QUALIFICATIONS:

  • 5+ yrs proven experience in project management, preferably in construction, furniture installation, or a similar industry.
  • Strong organizational and multitasking skills.
  • Excellent communication skills, both written and verbal.
  • Experience with project management software and tools (e.g., Khameleon, MS Project).
  • Ability to lead meetings, manage teams, and maintain high client satisfaction levels.
  • Knowledge of safety protocols and experience managing safety documentation.
  • Strong attention to detail and ability to manage multiple projects simultaneously.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook).

Responsibilities:

DAILY RESPONSIBILITIES:

  • Manage calendars and tasks to ensure efficient use of time and resources.
  • Facilitate team huddles and maintain open communication with the Operations Manager and Team Lead to keep all parties informed of project status and metrics.
  • Lead the Project Handover Meeting with the Account Executive to ensure all relevant details from sales are properly transferred to operations for smooth project execution.
  • Serve as the main point of communication with clients, ensuring consistent updates and information flow from sales order to project completion.
  • Ensure safety protocols are followed on-site, including completing all required safety paperwork for the project.
  • Coordinate installer bookings and ensure all necessary paperwork is prepared, including delivery and installation schedules.
  • Confirm delivery dates with clients and manage project schedules to ensure timely completion.
  • Review project schedule and ensure all Proof of Delivery (POD) documents and deficiencies are filed and processed.

WEEKLY RESPONSIBILITIES:

  • Update and report on project metrics prior to bi-weekly 1:1 meetings.
  • Actively participate in weekly safety meetings, ensuring all safety standards and inspections are met.
  • Provide weekly project progress reports and participate in related meetings.
  • Conduct deficiency walkthroughs with the installation crew, client, and other relevant parties prior to project close-out.
  • Hold weekly site meetings as needed with the installation crew to address project needs.
  • Coordinate initial site visits and project starts, meeting with project management and installation teams to gain an understanding of the project scope.
  • Create and maintain a comprehensive project schedule, tracking progress and adjusting timelines as necessary.
  • Conduct on-site project reviews with key stakeholders, ensuring projects are progressing according to plan.
  • Obtain Design & Installation (D&I) quotes from subcontractors.
  • Organize trucks for delivery to the site and ensure all required equipment is in place.
  • Upload completed delivery paperwork to the system for project close-out.
  • Review sales orders and order acknowledgments to confirm design accuracy.
  • Lead and document any necessary client meetings related to the project.
  • Maintain an accurate backlog report and ensure project tasks are progressing on schedule.
  • Approve installer hours and expenses to ensure accurate billing and resource management.

MONTHLY RESPONSIBILITIES:

  • Provide Actual vs. Budget reports to track project financials and address any discrepancies.
  • Review the Khameleon report to ensure all received items are booked for delivery and are on track with project timelines.
