Job Summary

Harvard Pilgrim Health Care Institute (HPHCI) seeks a highly motivated, action-oriented, and resourceful Project Manager to join our research organization. Our mission is to improve healthcare delivery and population health through research and education in partnership with health plans, delivery systems, and public health agencies. Under limited direction, the Project Manager manages major departmental projects, which will be of significant complexity, risk, and cost and have considerable interface with Institute Divisions, Point32Health, and external partnerships. The Project Manager is responsible for the overall management and oversight of project work to ensure that the goals and objectives are accomplished within budget, schedule, and scope. This position works closely with the Vice President of the Institute of Administration and Finance and requires excellent communication skills for close collaboration with colleagues in the research divisions, finance, operations, Sponsored Programs, and IT, as well as external institutions and collaborators.
Key Responsibilities/Duties – what you will be doing
- Lead cross-functional team members on projects of significant complexity. Leading cross-functional Institute projects of significant complexity under the Direction of the Vice President of Institute Administrative and Finance.
- Oversee day-to-day management of large organizational projects in a fast-paced environment. Projects may include strategic plan implementation, developing databases for contracts, licenses and data management, policy and procedures development, preparation of reports and presentations for Board and Institute leadership.
- Use project management principles to evaluate progress, identify problems, recommend solutions, and implement system improvements. Manage all project phases to ensure goals and objectives are met within the established time and budget guidelines. Understand and utilize risk management principles. Participate in the preparation of project plans and reports summarizing progress and results.
- Participate in preparing scopes of work and support contract execution for new projects. Create and manage project budgets, including tracking expenditures, payment to vendors, and preparation of financial reports; communicate about resource and budget expenditures to key stakeholders to ensure smooth operation of all aspects of the project. Accurately estimate and plan resource usage
- Regularly review the project’s status and modify the schedule as necessary. Oversee and facilitate project team meetings and prepare status documents periodically throughout the project.
- Monitor, track, and review the project status and modify the schedule as necessary with groups within Institute and Point32health, such as Operations, Finance, OSP, IT, and Legal. Oversee and facilitate project team meetings and prepare status documents periodically throughout the project.
- Project’s primary point of contact, ensuring team members are informed of progress and answering inquiries. Plan or oversee the planning of project calls and in-person meetings, including those with colleagues at HPHCI, Point32Health, and collaborating institutions, and effectively resolve roadblocks to project progress.
- Facilitates the creation of tracking databases, ensures that information is entered into databases accurately, and prepares data updates for Institute leadership.
- Other projects and responsibilities as assigned.

Qualifications – what you need to perform the job
- Bachelor’s degree plus 4 or more years of relevant experience coordinating or managing small to medium, multi-site projects and cross-functional initiatives, using standard project management methodologies in a health care or academic environment. A master’s degree in public health or related field is strongly preferred. Experience mentoring junior staff.
- Able to communicate and collaborate effectively and regularly with senior staff in the organization. Experience managing relationships with external partners, subcontractors, and vendors. Able to work independently with excellent judgment, prioritize work, operate under tight deadlines, and meet deadlines. Supervisory experience may be required.
- Able to organize and track budget expenditures and oversee budgets and scopes of work. Understanding of basic risk management principles.
- Fundamental critical thinking skills, including the ability to review and assess assumptions and demonstrably use prior experience to inform future work. Able to take initiative, effect, and monitor change, and serve as a role model to team members.
- Able to handle confidential and sensitive information discreetly.
