GENERAL SUMMARY

The Project Manager is a vital member of our organization, responsible for driving the planning, execution, and successful delivery of projects. This role requires a highly organized and proactive professional with exceptional communication skills and the ability to manage multiple tasks in a dynamic environment.

EDUCATION & EXPERIENCE

  • College or University degree
  • Prior management and/or supervisory/team leader experience

QUALIFICATIONS

  • Ability to coordinate efforts of team members who are not direct reports
  • Superior communications and professional speaking skills to act as liaison between Client, Suppliers, and organization
  • Ability to adapt quickly to changing requirements and tasks caused by either Suppliers or Clients
  • Ability to work effectively both independently and as part of a team
  • Advanced Excel, Outlook, and Office skills

Responsibilities:

  • Managing the Project Team
  • Lead and motivate the project team to ensure alignment with project goals and objectives
  • Clearly define team roles, responsibilities and deliverables for each project phase
  • Provide guidance, support, and problem-solving assistance to team members
  • Conduct regular team check-ins to review progress, address challenges, and foster collaboration
  • Promote a culture of accountability, teamwork, and innovation within the project team
  • Project Planning & Coordination
  • Develop and manage project plans, including scope, deliverables, timelines, and resource requirements
  • Coordinate project activities to ensure milestones and deadlines are met
  • Monitor project progress, identify risks or roadblocks, and implement proactive solutions
  • Facilitate clear and effective communication among team members, clients, and third-party vendors or contractors
  • Collaborate with sales and procurement to ensure timely ordering of hardware and software, and communicate delivery expectations to clients
  • Schedule and coordinate kickoff meetings, onsite and remote activities, and after-hours work with clients and internal teams
  • Oversee warranty and license applications to relevant service tickets and projects
  • Documentation and Reporting
  • Maintain accurate and organized project documentation, including project plans, status updates, meeting notes, and key deliverables
  • Draft and deliver clear and detailed Statements of Work (SOW) to clients
  • Prepare reports on project performance, highlighting progress, milestones, and deviations from original plans
  • Prepare statement of work documents and deliver to clients
  • Organize and manage client-provided forms and documentation for easy access and use
  • Procurement & Inventory Management
  • Oversee the procurement to ensure hardware, software, and other resources are delivered on time
  • Coordinate procurement activities with internal departments to align with project timelines and requirements
  • Track ETAs for hardware and provide regular updates to clients and internal stakeholders
  • Resolve procurement issues by collaborating with suppliers and internal teams to achieve optimal outcomes
  • Maintain accurate procurement records and conduct regular audits
