QUALIFICATIONS

  • Experience: Minimum of 3 years in event management, preferably in the exhibitions or event design industry.
  • Skills: Proficient in project management software (e.g., Filemaker, MS Project); excellent organisational and communication skills.
  • Attributes: Client-focused, detail-oriented, adaptable, and able to thrive under pressure.
  • Competencies: Strong problem-solving abilities, leadership, and time management.

Responsibilities:

ROLE OVERVIEW

As Project Manager at Whitespace Group, you’ll ensure seamless execution across multiple events and exhibitions, consistently delivering high-quality, memorable experiences for clients and attendees. In this role, you’ll manage all facets of event planning and execution, including logistics, budgeting, and client communication, and collaborate closely with teams in design, graphics, and installation & dismantle (I&D). Your goal is to exceed client expectations through efficient project coordination, budget oversight, and strong client and vendor relationships.

KEY RESPONSIBILITIES

  • Project Coordination: Work closely with departments (Custom, Graphics, I&D) for smooth project execution.
  • Task Management: Use structured to-do lists to manage and prioritise workload effectively.
  • Client and Team Communication: Act as the main point of contact for clients, handling inquiries and ensuring satisfaction.
  • Budget & Financial Management: Oversee project budgets, create purchase orders, and ensure accurate revenue capture.
  • Event Oversight: Lead and oversee all multi-stand events, ensuring quality and timeliness.
  • Artwork and Production: Coordinate artwork schedules and manage exhibitor artwork in collaboration with the XPO Customer Experience team.
  • Logistics Management: Support event build phases, managing schedules and logistics with the Operations team.
  • Documentation & Reporting: Reconcile and sign off on all projects, documenting expenses and POs in Filemaker.
  • Onsite Support: Provide onsite support during event setup and teardown to ensure schedule adherence.

ADDITIONAL RESPONSIBILITIES

  • Client Relations: Build and maintain strong relationships with clients and vendors to ensure event success.
  • Process Improvement: Stay updated on industry trends and contribute to continuous improvement initiatives.
  • Mentorship: Guide junior team members, fostering their professional growth.
  • Post-Event Evaluation: Prepare post-event analysis to assess success and identify areas for improvement.
  • Sales Collaboration: Partner with the sales team to identify new business opportunities and support proposal development.
