Description:

COMMUNICATIONS:

This position will interact with a multi-disciplinary team of hospital professionals, department end users, architects and consultants in the planning and development of FFE requirements.

SKILLS/CAPABILITIES:

  • Demonstrated ability to conduct all duties and responsibilities in a manner that is consistent with WRH’s commitment to promote positive customer relations when dealing with patients, families, visitors, volunteers, staff and external agents.
  • Ability to read architectural, mechanical, structural, and electrical drawings is considered an asset.
  • Familiarity with Broader Public Sector Procurement (BPS) requirements
  • Excellent presentation and communication skills (both verbal and written).
  • Experience working both independently and in a team-oriented, collaborative environment is essential.
  • Ability to work under pressure with changing priorities in a complex environment.
  • General knowledge of capital budgets, accounting, and fiscal management skills
  • Excellent time management skills in managing workloads, schedules, and deliverables.
  • Effective interpersonal communications skills, to both internal and external representatives required to build and support positive relationships.

QUALIFICATIONS:

  • University degree or College diploma in architecture, engineering, interior design, a health care related field, or an equivalent combination of education and experience will be considered.
  • Minimum of 5 years of experience in the planning, specification, selection, and/or procurement of hospital FFE.
  • PMP designation or demonstrated skill with respect to project management, organization, and implementation of detailed project specifications with complex multi-user group projects.
  • Project management and/or equipment and furniture coordination experience in a recent (within the last 5 years) in a healthcare setting (including experience in the selection, specification, or procurement of hospital equipment and furniture and the development & monitoring of budgets and schedules).
  • Experience in effectively managing diverse teams of project consultants and specialists.
  • Experience in dealing with technical, legal and financial data and the ability to find positive solutions to complex issues and problems with a diverse group of public and private sector stakeholders.
  • Experience and familiarity in reading specifications, and equipment cut sheets.
  • Previous experience working with a team in the planning of a large scale new or renovated healthcare facility is an asset.
  • French language proficiency an asset.
  • Occasional travel to support research/education to better inform project deliverables.

Responsibilities:

POSITION PURPOSE:

Windsor Regional Hospital is seeking an experienced Project Manager to join its Redevelopment portfolio. Working with the Redevelopment team, other WRH staff and external consultants, this position will play a role coordinating a wide range of activities relating to the planning, specifications, procurement and redeployment of medical equipment technology and furniture for the New Windsor Essex Acute Care Hospital (NWEACH) Redevelopment Project. Reporting to the Director of Furniture Fixtures & Equipment (FFE), MES, Asset Management and Capital Replacement, the Project Manager will act as one of the hospital’s representatives in discussions with a multi-disciplinary team of hospital professionals, department end users, architects and consultants in the planning and development of FFE requirements.
The Manager is a key member of the Redevelopment Team and plays an integral role in bringing an organizational, operational, and clinical perspective to the planning, and procurement of furniture, fixtures and equipment, and effective project delivery processes for the NWEACH and across all Windsor Regional Hospital sites.

DUTIES AND RESPONSIBILITIES:

  • Provide subject matter expertise in the field of FFE, capable of making recommendations and decisions and be an active link between clinical groups and the Redevelopment projects.
  • Provide subject matter expertise and input into furnishing and finishes and coordination with building design.
  • Develop and review Equipment lists for accuracy, ensuring utilities, equipment quantities, and specifications meet the requirements of the program. Use knowledge of WRH standards and current FFE to inform Equipment lists and specifications.
  • Review drawings to ensure FFE placement and fitment is reflected accurately.
  • Provide input into procurement specifications to ensure the needs of the hospital are met during procurement and that specifications align with the building design.
  • Develop FFE procurement documentation including scoring criteria; analysis of responses to RF(x); assistance in negotiating, awarding, and implementing in conjunction with internal and external representatives.
  • Work with vendors, Project Co, and consultants to coordinate the specifications, standards, delivery, training, installation, and commissioning of new FFE and ensure appropriate documentation is maintained.
  • Participate in the FFE deficiency checking process.
  • Effectively communicate to team members and other involved parties in a timely and clear fashion.
  • Manage the daily operational aspects of a project providing project management expertise and guidance, enforcing project standards, anticipating, and troubleshooting issues and minimizing the hospital’s exposure to risk.
  • Develop, manage, and deliver progress reports, requirements documentation, and presentations.
  • Performs cross-functional duties as assigned and/or requested; performing other duties consistent with the job classification as required.
  • Coordinate activities of external consultants under contract (e.g., Architects, Functional Programmers, etc.) to facilitate progress of various activities in compliance with project timelines, parameters and demonstrated value for money pursuant to Hospital policy.
  • Consult regularly with scheduling consultants to monitor and update compliance with project schedule including status, risks to achieving goals, plans to mitigate any issues of non-compliance, etc.
  • Collaborate regularly review with Equipment and Furniture and ICAT Consultants and Hospital Teams to interpret overarching equipment operational, clinical, and support processes, procedures, and related elements to ensure integration with the Functional Program and evolving operational plans.
  • Identify and ensure resolution of project related issues in a timely manner consistent with the project schedule and within approved project budget.
  • Ensure planning and design elements meet or exceed operational, accreditation and legislative standards (e.g., Occupational Health and Safety standards, accreditation quality of work life requirements, etc.) and can be operationalized efficiently and effectively.
  • Support with developing frameworks to guide the successful implementation of project through implementing an asset management plan and a corporate asset management system.
  • Manage and control FFE budget throughout the project.
  • Other duties as assigned.
