Description:
THE PROJECT
Key Responsibilities: Administrative Support: • Provide comprehensive administrative support to the Project Support Manager and Project team. • Organise and schedule meetings, appointments, and site visits. • Prepare and distribute meeting agendas, minutes, and follow-up action items. • Handle correspondence, emails, and phone calls related to Projects. • Understand the role of a Customer Liaison Officer and provide dashboard metrics and reporting. • Manage and control stationery and office ancillaries on site. • Manage and control data entry into Smart Waste. IT: • First point of contact for site team regarding any I.T issues (SharePoint, Field View, Microsoft Office, Printing etc) Document Control: • Maintain and manage project documentation, including but not limited to contracts, permits, drawings, and reports. • Co-ordinate SHDF/Decarbonisation projects ensuring compliance with the robust document processes and procedures to comply with PAS 2035 requirements • Document control utilising SharePoint across all projects. • Document control utilising Field View across all projects. • Ensure all project documents are accurately filed, accessible, and up to date. • Implement and maintain document control procedures and Processes. • Manage and collate (minimum) 1 number A3 hard copy of all design information and keep up to date. Project Coordination: • Assist in the preparation and monitoring of project schedules and timelines where necessary. • Coordinate with contractors, suppliers, and client to ensure timely delivery of services. • Track project progress and report any issues or delays to the Project Manager/Operations Manager. Compliance and Reporting: • Ensure all SHDF projects comply with relevant regulations and standards. • Prepare and submit required reports to relevant bodies and funding agencies. • Monitor and document project performance. Team Support: • Provide administrative support to the project team. • Assist in onboarding new team members, provide necessary training when additional support is required. •Ensure and maintain a collaborative and positive working environment.
