Description:
KAIZEN Asset Management Services is a leading property management firm in Dubai, is seeking a dedicated and detail-oriented Property Coordinator to join our team. JOB SUMMARY:
The Property Coordinator is responsible for providing support to the Property Management Team with regards to Site Condition Management, Stakeholder and Supplier management, Risk & Regulatory Management, Project Revenue & Financial Management, Administration & Reporting and Occupancy & Lease management.
Responsibilities
- Monitor deadlines and provide notices to appropriate parties.
- Handle commercial, residential, and villa contracts.
- Prepare and issue lease agreements immediately upon receiving PM approval/request from tenants.
- Prepare NOCs, presentations, draft letters, memos, and send out emails as requested by the Head of Department or tenants.
- Prepare EJARI for tenants.
- Send renewal notices to tenants 90 days prior to expiry.
- Monitor arrears and follow up with tenants as necessary.
- Prepare and issue lease renewals in accordance with policies and procedures.
- Prepare termination/expiry letters as required.
- Inform the concerned team/department of tenant move-ins and move-outs.
- Prepare legal cases for presentation to the Head of Department or Legal team.
- Coordinate with the Legal Department to stamp new and renewed leases.
- Prepare and issue tax invoices for commercial tenants.
- Arrange meeting schedules for the Commercial Manager with tenants/prospective clients.
- Answer phone calls, call tenants, assist tenants, and request required documents from tenants.
REQUIREMENTS
- High school diploma or equivalent; associate or bachelor’s degree in a related field is a plus.
- Proven experience in administrative or property management roles.
- Exceptional organizational and time management skills.
- Strong attention to detail and accuracy in record-keeping.
- Excellent written and verbal communication skills.
- Proficient in using property management software and Microsoft Office Suite.
- Knowledge of local property management regulations and best practices.
- Ability to work both independently and collaboratively as part of a team.
- Customer service-oriented with the ability to handle tenant inquiries and complaints professionally.
- Ability to multitask and prioritize tasks effectively in a fast-paced environment.
