Description:

REQUIREMENTS:

  • Bachelor’s degree in business administration, marketing, or related field
  • Over 5 years of experience in proposal development with previous experience working in engineering consulting firms with knowledge of the terminologies in the engineering, architecture, construction, infrastructure, or related field
  • Strong English language and writing skills, including attention to detail and ability to proofread and edit material, as well as an aptitude for understanding technical terminology
  • Detail-oriented with strong organizational and time management skills with the ability to manage multiple proposals and setting priorities within a demanding deadline driven environment
  • Excellent verbal communication and interpersonal skills with the ability to establish and maintain strong, positive internal and external relationships with a range of stakeholders from senior level management to design and administrative staff
  • Strong computer skills, proficient in Microsoft Office Suite, MS Project, Adobe Creative Suite including InDesign, photoshop, and graphic design
  • Flexibility to work overtime to meet proposal deadlines as required
    Experience with CRM tools such as Deltek is an asset

Responsibilities:

PURPOSE:

The Proposal Coordinator will support the firm (and in particular our Transportation and Safety team) by leading the preparation and submission of high-quality proposals for public sector opportunities, including municipal clients, provincial and federal ministries, and transit agencies. Reporting to the Chief Operating Office, and working closely with the Vice President, Transportation & Safety, this role ensures timely and accurate responses by managing the proposal development process, facilitating communication among internal teams and external partners, and maintaining proposal databases. The Proposal Coordinator will contribute to the growth of our transportation and safety initiatives by delivering compelling and compliant proposals

ROLE RESPONSIBILITIES WILL INCLUDE (BUT ARE NOT LIMITED TO):

  • Proactively research potential public and private sector opportunities and facilitate the registration process on all bid and tenders e-procurement portals/platforms
  • Lead proposal development efforts and coordination with the proposal managers and proposal team
  • Manage the proposal response effort including coordinating necessary proposal meetings and acting as the central point of communication for the proposal response team including subconsultants/ partners
  • Understand and apply proposal development processes and methodologies
  • Work closely with technical teams to develop proposal material including illustrations, organization charts, process flows, and gantt charts/ schedule
  • Ensure request for proposal (RFP) compliance, develop a proposal outline documents, contribute/draft standard proposal sections, facilitate proposal reviews, identify gaps within draft responses, and perform quality control on final document
  • Provide support for proposal development efforts, including formatting documents, creating templates and submitting proposals on bid and tenders portals/ platforms
  • Manage and update an internal proposal database and work closely with marketing and other proposal/technical writing teams to ensure all relevant information, opportunity details, and proposal documents/files are recorded and accessible through appropriate information management systems
  • Work with other proposal coordinators, graphic designers, technical resources, legal professionals, and other internal and external resources to complete and submit the proposal
  • Conduct post-proposal evaluations and client debriefs to obtain insights for improving the proposal process
  • Perform various administrative duties and tasks to assist department managers, marketing team, technical teams as required .
