Description:

Convergint is currently recruiting for a Proposals Coordinator to join their team in Eastern Canada. The Proposal Coordinator will lead and assist in developing high-quality proposals, coordinating the overall proposal effort, ensuring compliance with the Request for Proposal (RFP), leading pursuit teams, and facilitating the development of large and complex proposals from start to finish requiring additional customization and interdepartmental input for strategic and global customers.
The Proposal Coordinator is responsible for the overall management and accountability of the proposal process. This includes engagement in full life-cycle pursuit development, encompassing strategy sessions, content development, conducting compliance reviews, and providing training and mentorship. Additionally, this position will work directly with Business Development (BD), Account Executives (AEs), and other Stakeholders throughout the various Convergint Technology Centers (CTCs) to support the qualification of an opportunity (RFP/RFI/RFQ), schedule and hold meetings, create a persuasive, 100% compliant, and accurate proposal for submittal while maintaining the deadline requirements.
The position has an 80% work-from-home environment, with the potential for monthly local CTC visits to collaborate with colleagues. The candidate will be expected to be in a CTC for training and onboarding purposes initially.

REQUIREMENTS:

  • Bachelor’s degree in Business Administration, Marketing, Communications, or a related field. Relevant and valuable work experience may also be considered in lieu of a degree
  • Association of Proposal Management Professionals (APMP) certification is considered an asset
  • At least 3 - 5 years of RFP and Proposal Process experience with a proven track record
  • Bilingual (French/English) is considered an asset
  • Industry knowledge is a plus
  • Ability to travel for approx. 10% each year to support CTCs with more extensive proposals and attend yearly team meetings.

Responsibilities:

  • Lead a cross-functional team by developing content for proposals, developing schedules, facilitating meetings, completing the writing, and monitoring progress; developing timelines; and compiling, reviewing, and editing materials.
  • Lead Proposal Support Qualification call to qualify key opportunities with Convergint colleagues
  • Lead and facilitate the proposal kickoff meeting with the Account Executives, Leadership, Business Development Managers, General Managers, and other key contributors
  • Lead and facilitate cross-functional support with internal colleagues in various departments (i.e., Marketing, Legal, SME, etc.)
  • Lead RFP/RFI/RFQ analysis to identify requirements and develop a proposal plan and schedule
  • Lead and/or participate in the development of proposal strategy and work with the sales team to ensure the win themes and other desired technical content are incorporated into the proposals
  • Ensure that proposals are 100% compliant, all read in “One Voice,” and consistently meet the highest quality standards and deadline requirements
  • Review and understand inputs from engineers, estimators, sales, and other internal departments to ensure proposals contain readable language, consistent factual statements, and respond to statements of requirements
  • Gain knowledge and understanding of technical solutions from the top Manufacturers utilized in proposals
  • Write key sections of some responses (cover letter, executive summary, manufacturers, etc.)
  • Grasp technical concepts and make them easily understandable in text and infographics
  • Review, proof, and edit the Proposal Coordinator(s) proposals before the final review of the Proposal Manager
  • Identify innovative ways to improve the efficiency of the proposal process
  • Enhance the RFP and proposal response process to improve the win rate
  • Develop a proposal department resource library of proposal tools, documents, and graphics.
  • Responsible for submitting the final proposal to the customer and assisting in preparing any proposal follow-up communications (i.e., questions, interview prep, PowerPoint presentations, etc.)
  • Support and identify business and proposal development process improvements
  • Develop mutually beneficial relationships by lending support, expertise, and engagement
  • Preserve the confidentiality of highly sensitive financial and competitive information
