Role at a Glance
By combining your stellar writing, communication, and project management skills with your ability to work collaboratively with multiple stakeholders, you will complete winning proposals with our technical team. The Senior Proposal Specialist uses their expertise to manage the pursuit process from start to finish, including leading start-up meetings, developing winning pursuit strategies with the technical team, and editing and designing a superb final product for submission. You will also work with the marketing team to ensure all company marketing materials are kept relevant and current, including writing and editing CVs, creating project profiles, and preparing presentations.
This position offers an opportunity for seasoned professionals to take on a leadership role in driving the success of our business development efforts. By leveraging your expertise in proposal development and process improvement, you will play a crucial role in securing new business opportunities and driving the growth of our firm.

What You Will Do

  • Lead the development of high-quality proposals to secure new business opportunities, independently managing the entire proposal process from inception to submission.
  • Be fully immersed in all aspects of the proposal process including reviewing request for proposal (RFP) documents, participating in strategy meetings, and working closely with internal experts to prepare, write, and edit proposal responses including methodology, approach, and schedules.
  • Collaborate with the BD team and other stakeholders to understand client requirements and objectives for each proposal, researching, writing and editing proposal content to ensure clarity, accuracy, and alignment with client needs
  • Be a backup for scanning public tendering sites for RFPs and related opportunities aligned with the firm’s portfolio for the technical team to review.
  • Develop layouts and templates for promotional collateral, such as marketing packages, signage, recruitment briefs, and one-pagers, along with creating presentations to support our pursuit team during the project interview process.
  • Provide quality assurance checks for proposals and marketing materials created by team members.
  • Facilitate proposal kick-off meetings and regular check-ins to ensure alignment and progress, creating presentations to support our pursuit team during the project interview process.
  • Identify potential obstructions to project success prior to project completion, assessing their impact on desired results, and proactively bringing forth potential solutions.
  • Approach complex problems with a solution-oriented mindset, collaborating with stakeholders to execute effective solutions.
  • Collaborate with team members to build plans for process and content improvement, leveraging your expertise to ensure plans are comprehensive and actionable, ensuring effective implementation of improvement plans, providing guidance and support to team members as needed.
  • Work with the communications team to support content creation for web, social media, and the Intranet when needed.
  • Maintain and update project descriptions, corporate/department profiles, CVs and bios for technical staff, and our photography database.
  • Assist with various tasks and projects as assigned by supervisors or senior team members to support the overall success of the team and company objectives.
  • Demonstrate a strong commitment to our company values of quality, client focus, teamwork, sustainability, and community, integrating these principles into daily work practices and interactions with colleagues, clients, and stakeholders.

What You Bring to the Table

  • Bachelor’s degree in business, marketing, communications, or related field.
  • Minimum of 5 years of experience in proposal development or related field, with demonstrated leadership capabilities.
  • Strong written and verbal communication skills, with the ability to articulate complex ideas clearly and persuasively.
  • Experience in Adobe Creative Suite and InDesign is considered a strong asset.
  • Proven ability to manage multiple projects simultaneously and deliver results under tight deadlines.
  • Excellent problem-solving skills, with the ability to approach challenges with creativity and resourcefulness.
  • Proficiency in project management and process improvement methodologies is advantageous.
