The Purchasing and Inventory Clerk plays an integral role in directly contributing to the organization’s initiatives by means of execution and accountability. YOUR EDUCATION AND EXPERIENCE:
- High school diploma or GED.
- Post-secondary education in supply chain management, logistics, or procurement preferred.
- 1 - 2 years of relevant work experience.
- Strong computer skills and proficiency with Microsoft Office applications.
- Understanding of procurement processes, supply chain management, or purchasing practices preferred.
- Experience managing relationships with vendors and suppliers, including negotiation and contract management preferred.
- Experience in inventory control, including monitoring stock levels, tracking movements, and conducting audits preferred.
- Familiarity with an Entrepreneurial Operating System (EOS) is a plus.
Responsibilities:
- Work closely with suppliers/vendors to obtain product information such as price, availability, alternate products if needed, and delivery schedule, ensuring the timely and cost-effective acquisition of goods and materials at the most favorable terms for the organization.
- Coordinate with production, retail, and all other teams to forecast inventory needs and initiate replenishment orders.
- Collaborate closely with production teams to anticipate material requirements, mitigate supply chain disruptions, and facilitate timely delivery of materials.
- Oversee ordering process for internal customers.
- Issue purchase orders, ensure purchase order pricing and delivery dates are confirmed by suppliers, track open purchase orders, and authorize payments.
- Verify purchase requisitions by matching packing slips with purchase orders, clarify unclear items, and complete entries into several software systems.
- Match purchase orders with invoices and forward to accounting for payment processing.
- Resolve shipping errors and process returns for defective or unacceptable goods or materials.
- Prepare and maintain accurate records for tracking of all purchasing activities and price lists.
- Organize regular cycle counts to ensure inventory accuracy, ensure all cycle counts are performed on schedule, and assist with cycle count inventories throughout the year as needed.
- Identify areas for improvement within inventory processes, suggest and implement solutions, and contribute to the development of new procedures that enhance efficiency and accuracy.
- Report and reconcile inventory discrepancies and communicate inventory information to relevant personnel.
- Under supervision, apply inventory adjustments within prescribed dollar limit.
- Maintain and update inventory records.
- Generate and/or review inventory reports
- Participate in problem solving and process improvement within the department.
- Assist with special projects as directed.
