Description:

REQUIRED SKILLS/QUALIFICATIONS:

  • Minimum of 5-6 years’ experience in similar position like procurement or purchasing.
  • Knowledge of procurement software and tools
  • Interpersonal skills such as teamwork and good listening skills
  • Negotiation skills
  • Excellent communication skills
  • Ability to manage time and organize
  • Strong leadership skills
  • Proven track record of leading a professional, efficient, high quality, service-oriented operation.
  • Knowledge of local and regional sanitation and health safety compliance.

  • Knowledge of Adaco is a plus.
  • Must be highly organized, efficient and detail oriented.
  • Strong computer skills including Excel.

PHYSICAL REQUIREMENTS

  • Must be able to seize, grasp, turn and hold objects with hands.
  • Must be able to work on your feet for at least 8 hours.
  • Fast paced movements are required to go from one part of the club to others.
  • Must be able to move, pull, carry or lift at least 50 pounds.

Responsibilities:

THE ROLE

At Soho House the Purchasing Manager is responsible for overseeing and following all established procedures in ordering, receiving, storing, distributing and payment of items for the Miami area.
A successful Purchasing Manager will compare prices to maximize ROI and negotiate appropriate agreements to mitigate risk in price variances and quality control in supplier product and distribution.

MAIN DUTIES…

  • Influential leader to encourage others and advocates sound financial/business decision making; demonstrates honesty/integrity; purchasing, vendor management and analysis between internal and external stakeholders for perishable and non-perishable products.
  • Supervise, train and motivate all purchasing department employees daily, and thoroughly understand all of their duties and responsibilities.
  • Gain complete knowledge of Adaco, train and ensure Management team is using the Adaco as per company directives in all departments.
  • Responsible for purchasing, receiving and storerooms operations.
  • Possess and maintain good knowledge and relationships with local vendors, understand supply and demand locally.
  • Administer purchasing system by assisting departments in processing electronic purchase orders/requisitions on a daily basis.
  • Oversee the effective management of the inventory storerooms, ensuring all related collaborative operating policies and procedures are maintained and adhered to and report deficiencies promptly.
  • Check stock counts in all stock rooms against posted counts and against pars.
  • Review inventory levels as required to determine stock on hand is adequate and determine inventory level adjustments if needed.
  • Oversee the receiving process of goods entering the storeroom, ensuring all related collaborative operating policies and procedures are adhered to and reporting deficiencies promptly.
  • Assist departments in sourcing new vendors and suppliers in order to determine adequate product availability and obtain the most favorable prices and terms.
  • Manage the addition of new suppliers to the purchasing system, ensuring all required documentation is provided.Partner with all operational leaders in maintaining controllable costs.
  • Assist management with obtaining competitive price quotations and confirm product availability.
  • Assist the accounts payable team in researching any discrepancies on invoices.
  • Ensure that all storage areas are secure, clean and properly organized.
  • Establish and maintain par stocks on all inventoried items, keeping in mind that inventory levels must be kept as low as possible without compromising the efficiency of the operating units.
  • Coordinate the corporate annual operating equipment and supply (OS&E) requirements with the company’s purchasing agent and the appropriate hotel department heads.
  • Coordinate and participate as necessary in all month-end or quarterly inventories of operating equipment and supplies.Maintenance of the Food & Beverage, Events, Hotel, Club and Overhead budget and line expenses of the check book.
  • Analyze market and delivery systems to assess present and future material availability.
  • Oversee and execute all administrative processes and tasks in accordance with Soho House standards, including but not limited to inputting orders, invoices, transfers and requisitions into Adaco.
  • Oversee all invoices on goods received against shipment to ensure quantity, quality, weights, and purchase specifications are as ordered.
  • Enforce proper safeguards are in effect for the security of perishable and nonperishable food and beverage stored items.
  • Generate and provide accurate and timely results in the form of reports, presentations, etc.
  • Oversee all aspects of talent management within the Purchasing Department including recruiting, training, schedules, payroll, staff complaints and disciplinary procedures.
  • Assess purchasing team performance, conduct appraisals, and strategize for improving team performance.
  • Collaborate with the Finance team to ensure accurate and timely payment of invoices.
  • Performs other duties as assigned by the General Managers.
