Description:

The Q&S Coordinator role is a team role, who are key members of the Quality & Standards Directorate. The postholder will work closely with the Corporate Associate Chief Nurses to ensure the efficient running of the Directorate, providing the core functions of patient safety, risk management, patient experience, complaints, claims, clinical audit and improvement, safeguarding, non-medical prescribing, health and safety, document management and compliance. This includes administration support for key meetings.

Responsibilities:

Provide comprehensive and effective administrative support to the Quality & Standards division.
Effectively manage the diary of the Associate Chief Nurse’s and Deputy Chief Nurse as required.
Support and be involved in various projects as requested by the Division.
Act as a point of contact for the division.
Provide administrative support for a number of committees. This will include arranging meeting dates, preparing agendas, collating and distributing papers, booking venues, as well as attending and transcribing the minutes of the meetings.
Appropriately produce and disseminate a variety of correspondence/ documentation throughout the Trust, some of which is highly confidential. The correspondence will be in a variety of formats for example; email, letters, memorandum and may involve using a number of different systems or processes.
Provide systems administrator support for Datix to users: this includes access, security and some training and requires an excellent working knowledge of all the modules in Datix
Grant and manage access to the Datix databases and ensure relevant people receive appropriate notifications for information (e.g. moving and handling, infection control, security, finance, safeguarding) and forward incident reports to the appropriate Senior Manager for investigation.
Plan, design and produce scheduled and ad hoc reports from Datix and Datixweb for managers and committees, to include trend analysis and recommendations for change where appropriate.
Ensure that all electronic divisional information is maintained in accordance with data protection rules, ensuring that it is accessible to all relevant team members; set up appropriate electronic filing systems to support this.
Draft reports and manage processes as directed.
Liaise with staff at all levels, both internally and externally, answering written and verbal enquiries when necessary.
Arrange travel/accommodation for members of the division along with booking any conferences, courses and other meetings as required.
Photocopying / distribution of mail to the Quality & Standards Team and wider Trust staff.
Order stationery and other supplies when requested and required.
Raise all appropriate purchase orders for the division and provide administrative support for some charitable budgets which includes monitoring grant requests and raising purchase orders on behalf of clinical teams.
Input and finalise rosters on Health Roster
Input sickness absence onto Health Roster for the Q&S division on a monthly basis as well as inputting and processing any Q&S team members expenses and overtime approvals.
Work with managers and administrative staff to review working practices and identify new improved ways of working to find solutions to problems.
Work with the senior managers in the team to improve the quality and range of services, with resources being managed according to agreed policies and priorities.
Work closely with the senior nursing team to arrange quarterly development days and International Nurses Day.
Be responsible for logging building and equipment faults with the Estates and Facilities department.
Attend appropriate training and education sessions at the request of the line manager, in addition to mandatory training.
Organise training sessions that are facilitated by the Quality & Standards team.
Provide cover for the Patient, Safety & Risk Officer and Patient Experience Officer as and when required.
