JOB SUMMARY:

We are looking for a Quotations and Procurement Coordinator to join our team in Vancouver. This role is responsible for the pricing, quoting, and procuring of audiovisual and lighting components and systems for Eos Lightmedia’s projects across North America and beyond. As a member of the Quotations and Procurement team, this role supports Sales, Design, and Integration team members by providing accurate pricing information during the RFP (Request for Proposal), design, installation, and post-build support phases of projects. The Quotations and Procurement Coordinator is responsible for purchasing and delivering all installation equipment for projects. This role reports to Eos Lightmedia’s Director of Integration.
A typical day for an Eos Lightmedia Quotations and Procurement Coordinator

might include:

  • Working with the Sales and Estimating teams to prepare quotations for bid
  • proposals, including pricing and lead time estimates.
  • Assisting with ordering, tracking, and invoicing goods and services for active Eos Lightmedia projects.
  • Aiding the design department in preparing project budgets.
  • Communicating with vendors to ensure that all critical deliveries arrive at their destinations on time, and specification credits such as invoices, tracking info, tax documents, etc. and miscellaneous expense and quoting processes.
  • Working on project registration with suppliers to manage project pricing
  • Interacting with suppliers to resolve issues and gather critical information
  • Procuring lighting and audiovisual equipment for projects based on the procurement schedule, including onsite materials needed ‘just in time’.
  • Tracking project costs, including the cost of goods, shipping, labour costs,
  • Making recommendations and participating in improving procurement and
  • A variety of other related duties

  • Bachelor’s Degree (preferred

Responsibilities:

  • Experience with customer service, estimating, quotations & procurement
  • Excellent vendor communication skills, strong time management skills, and a commitment to meeting deadlines and receiving critical orders on time
  • Computer savvy with mid-to-high-level skills in Word Processing (Microsoft Word/Apple Pages), Spreadsheets (Microsoft Excel/Apple Numbers), and Cloud file management (Dropbox/Box)
  • Excellent English communication skills, both written and verbal, with good
  • negotiation and decision-making skills
  • Ability to build positive professional relationships with peers, management, contractors, and suppliers
  • Ability to collaborate with peers to ensure administrative systems and processes are consistently followed and monitored for effectiveness and that gaps are addressed and resolved when identified
  • Knowledge of supply chain management considerations related to design or construction industries
  • Post-secondary education, preferably in business, finance, logistics, or data management
  • Familiarity with lighting and AV systems and components would be an asset
  • Procurement-related or electronic Accounts Payable software experience (procurement, expediting, or other order entry) an asset
  • Strong attention to detail while still being able to see the broader picture.
  • Ability to listen, persuade, analyze, and negotiate with an understanding of
  • Organized work methods with good time & project management skills
  • Willingness to learn and ask for help from peers
  • Ability to work flexible hours as required from time to time.
