Description:

We are looking for a temporary Photoshoot Coordinator to assist with the organisation of our upcoming Autumn/Winter photoshoots. The role involves working approximately two days per week throughout August, September and October, with the main shoots scheduled for September.

  • Budget Management: Proficiency in managing budgets and negotiating vendor rates.
  • Team Collaboration: Ability to work collaboratively with photographers, stylists, makeup artists, models, and other team members.
  • Adaptability: Flexibility to handle unexpected changes or challenges.
  • Project Management: Experience in overseeing projects from planning through post-production, ensuring timely completion.
  • Client Management: Ability to manage client expectations and maintain a professional relationship.

ADDITIONAL INFORMATION / REQUIREMENTS

  • Commitment: Approximately 2 days per week.
  • Flexible Working: Hours are adjustable to fit your schedule. However, there will be specific days when you will need to work in our Freshwater (Isle of Wight) office to prepare items or coordinate with the team for upcoming shoots.
  • Attendance: Participation in September shoots is mandatory.
  • Work Location: We are open to remote, in-office, or hybrid work arrangements. However, the successful applicant must be available to attend shoot days, which may take place on the Isle of Wight or at various locations around the UK.
    This role is perfect for individuals with a strong interest in event management, operations, or project planning, especially those passionate about retail and fashion, and looking to gain hands-on experience in these areas.

Responsibilities:

Preparation and Planning:

  • Collaborate with the production team to understand the objectives, vision, and requirements of the photoshoot.
  • Plan logistics, including location scouting, props, equipment, permits, products, catering, and model transportation.
  • Manage model requirements and terms for the shoot.

Scheduling/Call Sheet Management:

  • Create and manage detailed schedules for the photoshoot.
  • Coordinate bookings for photographers, models, stylists, makeup artists, and other crew members.
  • Ensure that all team members are informed of their call times and responsibilities.

Budgeting and Financial Management:

  • Work within budget constraints, negotiating rates with vendors, and managing expenses related to equipment hire, travel, accommodation, and other necessary items.

On-Set Coordination:

  • Oversee the smooth execution on shoot days.
  • Ensure timely attendance, resolve any issues or conflicts, and keep the shoot on schedule.

Communication:

  • Act as the primary point of contact between the client, creative team, and all other stakeholders.
  • Provide regular updates on progress and address any concerns or questions.

Post-Production Coordination:

  • Assist with the selection of final images and coordinate any necessary retouching or editing.
  • Ensure that deliverables are provided to the client or organisation in a timely manner.

Feedback and Evaluation:

  • Collect feedback from the client, team members, and other relevant parties after the photoshoot.
  • Use this feedback to improve processes and outcomes for future projects.
