OVERVIEW
Highpoint Homes Realty Brokerage is looking for a proactive, organized, and dependable Administrative Assistant to join our team. Experience in real estate or related field is preferred but not required.
QUALIFICATIONS
- Experience with Google Workspace (Docs, Sheets, Drive), Canva, and real estate platforms like BrokerBay, MLS, and Realm is a plus.
- Strong organizational skills with the ability to manage multiple tasks effectively.
- Excellent verbal and written communication skills.
- A customer service-oriented mindset with the ability to interact professionally with clients and colleagues.
- Attention to detail and accuracy in all tasks performed.
- Tech-savvy and quick to learn new systems.
- Ability to work independently as well as part of a team.

Responsibilities:
- Manage day-to-day office operations, including maintaining organization and supplies.
- Answer and direct calls professionally and handle client inquiries.
- Greet visitors and create a welcoming office environment.
- Process real estate deals and prepare documents using systems like TRREB and BrokerBay.
- Input and manage MLS listings and update property data.
- Assist agents with document preparation for sales, leases, and exclusive listings.
- Design simple marketing materials such as flyers and social media graphics using Canva.
- Manage and update the brokerage’s social media platforms.
- Organize and maintain electronic and physical filing systems.
- Schedule appointments, meetings, and follow-ups for agents and brokers.
- Draft office correspondence and issue receipts for deposit cheques.
- Maintain confidentiality of sensitive information in accordance with company policies.
