As the Real Estate Project Administrator, you provide project and administrative support to the Asset & Portfolio Management team. You also liaise with the shareholders and stakeholders, organize and coordinate executive outreach and external relations efforts. You will manage confidential information, possess a high attention to detail, take initiative and adapt with strong written and verbal communication, administrative, and organizational skills while maintaining a realistic balance among multiple competing priorities.

SKILLS AND QUALIFICATIONS:

  • Bachelor’s degree or equivalent work experience required
  • Proven ability to support senior level executives and project teams
  • Real Estate experience would be a considerable asset
  • Advanced proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint)

Responsibilities:

  • Manage sensitive matters with a high level of confidentiality and discretion, especially decisions directly impacting the company’s operations
  • Plan and coordinate meetings and events with internal and external participants, including guest registration, catering and technological requirements
  • Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects, and other documents to support the organization’s objectives
  • Support the Asset & Portfolio Management team by reviewing, researching, collecting and analyzing information on various projects
  • Support the financial and legal administration of the Family Office by managing the physical and digital storage of financial and legal records, routine filing of annual reports, and maintaining the applicable information databases
  • Prepare expenses reports; support invoice management; perform reconciliations of corporate credit card accounts
  • Attend key meetings and take minutes of meetings, as requested
  • Arrange travel and accommodation for the Asset & Portfolio Management
  • Assist with maintaining human resource template documents and initiatives
  • Ability to perform well in a high-paced environment; take on additional duties and ad-hoc projects as assigned by management
  • Be responsive to emails/texts/phone calls, with possibility for contact outside normal business hours
