Description:
Main responsibilities are to pleasantly greet, welcome and direct our visitors and to generate a professional image of the company. As a member of the assistant’s team the receptionist will report to the Assistant Team Leader.
Main Duties and Responsibilities
- Reception of guests, meeting room management including F&B and video-/telephone conferencing equipment
- Telephone duties: Operating the switchboard, ensure that there is adequate telephone cover during the working day
- Access control, serves as checkpoint of building security
- Tracking of office attendance
- Parking space and guest desk management
- Mailroom service including arranging couriers, copying and scanning
- Checking and scanning invoices
- Maintain stock of office supplies including stationary and binding material
- Liaising with service providers, utility workers and contractors together with the office administrator
- Support organizing events for the office
- Supporting other assistants in their daily business such as printing, binding, etc.
- Keeping the kitchen tidy and clean during the day
- Correspondence in German and English
- Further administrative tasks
Technical Skills & Qualifications Required
- Competent with use of Outlook, Word and Excel
- Good language skills in German and English
- Experience in a similar role
