JOB OVERVIEW:

We are seeking a highly motivated and detail-oriented Real Estate Virtual Assistant to join our team. In this role, you will be responsible for managing property data, assisting with property management tasks, and supporting daily operations in the real estate business. The ideal candidate should have strong English communication skills, be comfortable making calls, and possess excellent organizational abilities to handle various administrative tasks.

QUALIFICATIONS:

  • Experience:
  • Previous experience as a virtual assistant or in a real estate-related role is preferred.
  • Knowledge of property management software and CRM systems is a plus.
  • Skills:
  • Excellent verbal and written communication skills in English.
  • Strong organizational and time-management skills.
  • Ability to make calls confidently and professionally.
  • High level of proficiency in MS Office and Google Workspace.
  • Ability to handle multiple tasks and priorities simultaneously.

Responsibilities:

  • Database Management:
  • Organize and maintain real estate databases, ensuring accurate and up-to-date property listings.
  • Input new property details and update records as necessary.
  • Track client interactions and manage contact information.
  • Assist with CRM systems to manage leads, follow-ups, and client communications.
  • Property Management Support:
  • Coordinate property maintenance requests and liaise with contractors and vendors.
  • Assist with tenant inquiries and communicate updates regarding property issues.
  • Track lease agreements, renewals, and other essential documents.
  • Monitor rent payments and assist with overdue payment follow-ups.
  • Communication & Client Relations:
  • Make outbound calls to tenants, property owners, and potential leads.
  • Respond to emails and messages in a timely manner, maintaining a professional tone.
  • Assist with scheduling property viewings and meetings with clients or tenants.
  • Data Analysis & Reporting:
  • Generate property reports, sales statistics, and performance summaries.
  • Analyze property market trends and assist in providing insights for decision-making.
  • General Administrative Support:
  • Schedule appointments and meetings for the team.
  • Manage email inboxes and organize paperwork.
  • Prepare documents related to property deals, leasing, and agreements.
