As Receptionist & Administrative Assistant in our Office Management (OM) team, you will report directly to the Office Manager and mainly focus on the following activities:

Your Role as Receptionist:

  • Reception and greeting of visitors (clients, providers, delivery…)
  • Manage all incoming (international) phone calls, redirect to the appropriate individuals, and take messages where necessary
  • Coordinate incoming and outgoing mail, including electronic archiving activities
  • Set-up and manage the booking of meetings rooms for internal and external meetings including catering services if requested
  • Effectively managing the flow of invoices
  • Monitor, maintain inventory and place order for office supplies
  • Actively participate in ongoing OM processes review and improvements
  • Supervising the Company’s cleaning personnel, ensuring the office area is always kept in order

Your Role as Administrative Assistant:

  • Provide high level administrative support to the Office Manager and Senior management including international travel planning and organization (travel management)
  • Be able to draft, review and send emails / communications in English
  • Assist with the preparation of meetings which may include formatting and consolidating of PowerPoint presentations and Word documents and following up on action points as a result of the meeting
  • Handling sensitive and confidential information with the utmost professionalism and discretion
  • Support various projects by providing administrative assistance and taking the lead on specific tasks as needed

Your Profile:

  • Excellent communication skills (written and verbal) in German, English. French would be an asset.
  • Excellent knowledge of MS Office (Outlook, Word, Excel - without formula knowledge, PowerPoint)
  • Strong ownership and “can-do” attitude, autonomy, ability to deliver on time
  • Professional and friendly attitude with internal and external stakeholders with a customer service oriented and teamplayer
  • High integrity, trustworthy, and discreet with sound judgment and professional maturity
  • Ability to handle multiple priorities simultaneously and calmly
