Description:

The Reception and Office Assistant for the Southern Europe office will be based in Milan.
In this role, you will be responsible for ensuring the smooth, efficient, and professional operation of the Divisional Office. Your focus will be on maintaining exceptional brand standards, providing a welcoming experience for team members, guests, and visitors to the Southern Europe office.

Responsibilities

  • Oversee office services and facilities for the Divisional Office.
  • Act as the first point of contact for team member queries related to office facilities.
  • Manage and lead ad hoc projects to enhance the employee experience.
  • Coordinate with external suppliers and the building owners for maintenance and office services (cleaning, utilities, general maintenance).
  • Manage office supply inventories, ensuring stock availability.
  • Maintain the welcome area and office, ensuring they are well-presented at all times.
  • Receive deliveries, notifying recipients and organize couriers.
  • Manage meeting room schedules and assist with meeting preparations, including setting up equipment and eventual refreshments.
  • Welcome and assist visitors, ensuring a professional and friendly experience.

REQUIREMENTS:

  • Available to work on-site in Milan’s office.
  • Proactive mindset to address business needs in real time.
  • Strong organizational and multitasking skills.
  • Ability to manage office maintenance and supplier relationships.
  • Effective communication skills with employees, guests, and external contacts.
  • Registration in the “liste del collocamento obbligatorio ex art. 1 l. 68/99”.
