Description:

GENERAL DESCRIPTION:

Provide reception coverage for the assigned office and support other projects for the Membership Department and other SEIU 503 Departments.
Providing back up to co-workers does not require comprehensive knowledge of the co-workers responsibilities, but rather a general ability to cover the position while someone is out ill, in training, or on vacation or other leave.

Qualifications:

  • Bilingual skills preferred, English/Spanish for reception coverage.
  • Valid driver’s license (for occasional work-related errands).
  • High School Diploma or equivalent and 1-2 years clerical experience.
  • Flexibility and ability to work well under pressure to meet timelines.
  • Ability to use logic and exercise good judgment.
  • Ability to work well independently and with others.
  • Ability to effectively communicate with coworkers, vendors and members.
  • Ability to operate computer using MS Office.
  • Ability to learn other software programs as needed for this position.
  • Organizational skills with ability to prioritize work and organize work area.
  • Ability to handle a complexity of tasks and carry out detailed instructions in a timely manner.
  • Desire and ability to readily learn new processes, procedures, and equipment operations.
  • Physical ability to lift boxes weighing up to 30 lbs., stand and/or sit for extended periods of time

Responsibilities:

Reception (60-75%)

  • Provide reception coverage &/or reception relief for daily breaks, lunch, and other coverage as needed.
  • Greet and assist all persons entering the building in a professional and courteous manner.
  • Answer and direct incoming phone calls through a multi-line centralized telephone system; including voice mail messages at the beginning of each day and throughout the day.
  • Distribute information, faxes, and material left at reception desk.
  • Provide back up support to other departments, for example:
  • filing and/or data entry for special projects
  • processing benefit cards
  • processing voter registration cards
  • other projects as needed.
  • Daily review of general email and distribute appropriately.
  • May be responsible for preparing Kitchen Duty schedule and sending reminder emails to staff during their assigned week.
  • Process incoming and outgoing mail processing (standard, bulk, certified, UPS, USPS, etc).
  • Assist members with updating membership data or determining membership status through accessing various membership databases.
  • Knowledge of USPS postal requirements and regulations (bulk, first class, pre-sort, etc), UPS and other mail-house vendors
  • Record keeping: track mailings, ballots, postage, and more. (For example: Maintain bulk record book, record business reply to mailings, maintain postage records book.)

Membership Support (20-35%)

  • Enter membership applications including online and paper applications.
  • Match forms and records for accuracy of information in database.
  • Create person records for represented workers based on data received from employers.
  • Scan documents for historical data purposes and match to worker records.

General Duties (2-5%)

  • Participate in union-wide membership drives, political campaigns and other field activities as assigned which may include worksite visits, phone banking, house visits, door-to-door canvassing and literature drops.
  • Other duties as assigned.
