Description:
JOB SUMMARY
Open only to applicants from Hampshire & Isle of Wight NHS system, which is limited to; Hampshire IOW Healthcare NHS Trust, Hampshire and Isle of Wight ICB, Portsmouth Hospitals University NHS Trust, Isle of Wight NHS Trust, University Hospital Southampton Foundation Trust, South Central Ambulance Service or Hampshire Hospitals Foundation Trust.
The successful candidate will be required to support the hospital’s busy reception and carry out fleet support for some of the Trust’s many vehicles. There is a requirement to supervise a part-time staff member.
An important part of the role is the face to face contact with patients, staff and contractors coming into the Tom Rudd unit.
The successful candidate will need to be people focussed, organised and there will be a requirement to deal with petty cash and ensure the accurate dispatch and distribution of post and parcels.
Good computer knowledge and skills are necessary as a lot of the fleet systems are computer based.
Flexibility is required to meet the needs of this ever-demanding role.

JOB DESCRIPTION

Responsibilities:
- To supervise the reception and general office function of the Tom Rudd building including switchboard.
- To cover administration duties for the vehicle management of vans and pool cars operated by the estates department within the geographical area.
- To be responsible for a petty cash float for the site within trust standing financial instructions. This will include cash reconciliation and banking.
- Be the first line of contact for staff/visitors/patients to report building issues/defects to Estate Services.
- To sign for deliveries if needed and inform relevant department of a delivery for collection/Delivery via porter from reception.
- To support and directly supervise reception staff.
- To answer general reception and telephone queries, covering the main Switchboard when required.
- To report defects to the Estates Services as required, chasing repairs when necessary and ensuring all issues are logged on the help desk.
- While working in the building bring to the attention of Estates Maintenance any defects or issues regarding the site including cleanliness which then needs to be reported to the relevant helpdesk.
