Description:

The Adams Lake Indian Band is seeking a Receptionist to work under the direction of the Adams Lake Band’s Office Manager. The individual’s main responsibility will be to work under the direction of the Office Manager to complete general office and administrative tasks and procedures; mail/fax processing; receives office visitors; answers inquiries by telephone; and takes telephone messages when staff members are not available.

QUALIFICATIONS, KNOWLEDGE AND SKILLS

  • Effective communication skills with the ability to problem solve
  • Ability and experience operating basic office equipment.
  • Experience with general office procedures.
  • Knowledge of computers and usage, with a good understanding of MS Excel, Word and Outlook.
  • Good verbal and written communication skills.
  • Strong interpersonal skills to deal effectively with all levels of the company and external contacts.
  • Diplomacy, tact and confidentiality in dealing with a variety of people and information.
  • Reliability and dependability.
  • Self-motivated and initiative are mandatory because of general supervision.
  • Ability to work in a team-oriented environment.
  • Flexibility is a must to adapt to changing work priorities.
  • Good judgment must be exercised at all times.

Responsibilities:

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

  • Performs all duties and responsibilities in accordance with Adams Lake Indian Band policies and procedures and Oath of Confidentiality.
  • Multi-Switchboard Operations including but not limited to; Answering incoming calls; taking telephone messages, screening calls and directing calls to appropriate destination.
  • Receiving office visitors, including Ministry officials, greeting visitors ascertaining their business and escorting or placing them in contact with the appropriate staff member.
  • Administrative duties that may include use of Excel spreadsheets, MS outlook, Teams, and MS Word.
  • Process incoming and outgoing mail/faxes/emails; and photocopy necessary documents for distribute to the appropriate department.
  • Operate office equipment i.e. photocopier, computer, fax, calculator, etc.
  • Preparation of Courier packages.
  • Maintain bookings of office space.
  • Assist in keeping a clean front area, and provide guests with refreshments as appropriate.
  • Maintains office supplies, including but not limited to refreshments, cups and utensils
  • Good public relation skills and ability to communicate effectively and work as a team member.
  • Performs other related duties and responsibilities as assigned.
