We are looking for a talented Receptionist/ Admin Assistant to join our team in Tuas South, Singapore. Receives visitors and supports individual, department or site staff by promptly, courteously and accurately addressing requests for assistance. Performs activities under limited supervision.

PREFERRED QUALIFICATIONS:

  • High school diploma or certificate of completion of secondary education or equivalent experience to the extent such experience meets applicable regulations.
  • Requires some work experience or intermediate level knowledge obtained through education, training or on-the-job experience.
  • Handle local and overseas courier dispatch.
  • Administer common stationery replenishment.
  • No cross-border support will be provided.

Responsibilities:

IN THIS ROLE, YOU WILL MAKE AN IMPACT IN THE FOLLOWING WAYS:

  • Acts as the organization’s first point of contact for visitors and/or callers while ensuring professional communication.
  • Receives and directs calls in a courteous and efficient manner. Welcomes visitors, ensures and maintains proper sign-in documents and explains/follows safety procedures.
  • Completes all incoming and outgoing mail requirements, including courier services and manages maintenance of the postage machine as applicable.
  • Schedules appointments, meetings and books conference rooms. Orders lunch for both employees and visitors.
  • Manages the office supplies stockroom, places office supplies order and maintains effective administration.
  • Contacts vendors and suppliers as requested to advise of plant/site shutdowns and other disruptions in service.
  • Maintains badges for new hires, contractors and visitors. Supports administrative projects as assigned.
  • Provides other administrative support activities where required.
  • Check incoming email at group emails and forward the email to respective depts and regions.
  • Support multi designations travel arrangement as well as ad-hoc flight bookings for customers when requested. Assist travelers who encounter technical issues with point-to-point flight booking on concur platform.
  • Handle incoming calls via zoom.
  • Clearing incoming letters and documents, and distribute to respective depts.
  • Handle local and overseas courier dispatch.
  • Administer common stationery replenishment.
  • Support Visitor Registration on visit.cummins.com platform.
  • Coordinate Tuas Employee Monthly Birthday Celebration (check birthday stars availability and order cake on monthly basis).
  • Support filing Stakeholders/leader’s Travel Expenses Claim in Concur.
  • Raise/create PRs/POs in Ariba and Movex for Admin, facilities, HSE, CBS-HR, Engineering & Purchasing team; Finance (including intercompany PR), Legal Services, follow by goods receipts/GRN to complete process for payment.
  • Support Ad-hoc advance payment requests.
  • Support New Vendor (GSAR) and update vendor information in S360 Application.
  • Email soft copies of all energy invoices (SP Svcs & Sunseap) on quarterly basis to HSE team.
  • Update facilities license/maintenance records/register and assets records/register in shared folder as and when there are updates/changes.
  • Update Bus Data Summary records upon receipt of bus data from security team.
