We are seeking a highly organized and detail-oriented Receptionist / Administrative Assistant to join our team. As an Administrative Assistant, you will play a crucial role in supporting our daily operations and ensuring smooth administrative processes. If you have excellent organizational skills, strong attention to detail, and the ability to multitask effectively, we would love to hear from you.

REQUIREMENTS:

  • High school diploma or equivalent; additional qualifications as an Administrative Assistant or Secretary are a plus.
  • Proven experience in an administrative role
  • Strong organizational skills with the ability to prioritize tasks effectively
  • Knowledge of Medicare, Insurance and NDIS is desirable
  • Excellent written and verbal communication skills - Proficient in computerized systems such as Microsoft Office Suite (Word, Excel, PowerPoint) and Google Suite (Docs, Sheets, Slides)
  • Experience with data entry and record keeping
  • Familiarity with Xero or other accounting software is a plus
  • Exceptional attention to detail and accuracy
  • Ability to maintain confidentiality and handle sensitive information with professionalism
  • Strong phone etiquette and customer service skills

Responsibilities:

  • Provide general administrative support, including answering phone calls, responding to emails, and managing correspondence
  • Maintain and update company records and databases
  • Perform data entry tasks with a high level of accuracy
  • Assist in the preparation of reports, presentations, and other documents
  • Schedule appointments and meetings, and manage calendars
  • Coordinate travel arrangements for staff members
  • Assist with inventory management and ordering office supplies
  • Handle confidential information with discretion
  • Perform other administrative tasks as assigned
  • Accounts receivables
