Description:

This position is for a part-time occupation, 3 days per week (Monday, Wednesday, Friday).
The Receptionist – Administrative Assistant will mainly be responsible for:
Ensuring the effective functioning of the reception desk of the Integrated Biobank of Luxembourg in Dudelange
Carrying out miscellaneous administrative activities and basic secretarial duties.

KEY ACCOUNTABILITIES

  • Take care of mail recording, mail distribution and correspondence in general.
  • Welcome in a polite and courteous manner any person (visitors and employees) who comes to the reception of LIH and take care of their requests.
  • Answer, screen and forward all incoming phone calls in a polite and courteous way, record and relay messages to the relevant person
  • Organize the booking and set-up of meeting rooms, beverages management, catering, etc.
  • Follow up and manage the stock of office material
  • Actively manage parcels’ reception (delivery and return).
  • Manage purchase orders according to the procedures in place (quotation requests, price negociations, ordering, invoice verification)
  • Arrange business trips for collaborators
  • Participate in the management of the presence / absence planning of receptionists.
  • Perform a variety of other basic administrative and clerical tasks as requested

KEY SKILLS, EXPERIENCE AND QUALIFICATIONS

  • Min. High school diploma with ideally 2 years of related experience.
  • Ability to demonstrate problem-solving, critical thinking, attention-to-detail and communication skills
  • Be able to multi-task in a fast-paced environment.
  • Ability to work cooperatively and collaboratively with others
  • Helpfulness, good listening skills, discretion.
  • Precision, meeting of deadlines, punctuality.
  • IT skills: Word, Excel, Outlook, ..Languages skills: French, English (good oral and written command), any knowledge of German and Luxembourgish is an asset.
