Description:

POSITION SUMMARY

Welcome all customers and internal clients with efficient, prompt, courteous service. Oversee and manage company voicemail and email communications, ensuring messages are forwarded to the relevant personnel. Process all incoming and outgoing mail. Perform administrative tasks to support the operations of multiple departments. The role requires independent project management, handling diverse activities, and maintaining confidentiality.

Required Education and Experience

  • High school diploma or equivalent (GED)
  • Experience with Microsoft Office Suite (Word, Excel, Outlook and PowerPoint)

Responsibilities:

  • Greet each visitor with appropriate welcome and acknowledgement of arrival or presence in reception area.
  • Provide mail services including sorting, weighing and posting outgoing mail and packages; distributing interoffice/inter-project mail, etc.
  • Schedule conference rooms and coordinate with Executive Assistants or meeting planners.
  • Receive/sign for deliveries, letters, etc. as required.
  • Oversee and maintain inventory of office supplies.
  • Help the Vice President(s) with calendar organization, including scheduling and meeting coordination.
  • Handle all aspects of travel planning for the Vice President(s), including flight bookings, hotel stays, transportation, and coordination of itineraries.
  • Collaborate with the Executive Assistant on the planning and execution of company-wide events.
  • Perform additional duties and assignments per supervisor’s direction.

Required Education and Experience

  • High school diploma or equivalent (GED)
  • Experience with Microsoft Office Suite (Word, Excel, Outlook and PowerPoint).
