Job Summary :
Our corporate activities are growing rapidly, and we are currently seeking a full-time Receptionist and Concierge to support our team in Central London, at our stylish office at Vintners Place, on the bank of the Thames. This position will work in a team to accomplish tasks and projects that are instrumental to the company’s success. Responsibilities :
- Working from the office reception desk, meet and greet clients, vendors, and staff in a friendly and professional manner, answer main office phone and transfer calls, distribute accurate messages, coordinate incoming and outgoing courier and mail services.
- Responsible for visitor management and following security protocols at assigned office entry points.
- Supports internal meetings & events with room set-up, catering, and other services as required.
- Collaborates with all Functional areas to create and develop successful and innovative external events such as Recruitment, Training and Development conferences.
- Maintain and develop vendor and supplier databases such as mailing lists, contact lists and client information.
- Supports stocking of beverage and catering supplies, refrigerators, and equipment.
- Coordinates housekeeping needs with our vendor, proactively checks for room preparation including furniture set-up and cleanliness.
- Works closely with IT, HR, and Finance, supporting local administration where needed.
- Completes other tasks and projects as assigned by Facilities Management team.
- General office organization, including reception, ordering supplies, faxing, shipping, collaboration with local vendors.
- Perform administrative duties in conformity with company policies and procedures
- Submit office expenses and supports the flow of invoices within allocated budget, escalating approval when necessary.
- Completes all required trainings and SOP reviews in a timely manner.
Qualifications :
- 2+ years of experience in a professional Assistant/Receptionist position.
- Prior experience in meetings and events coordination/support
- Must have customer service approach to reception for both external visitors and Medpace employees.
- Attention to detail and excellent oral and written communication skills.
- Proficient in Microsoft 365 Software including Word, Excel, and Outlook. Experience with Microsoft PowerPoint is also preferred.
- Prior experience sorting/distributing mail, shipping and receiving.
- Excellent organisational and prioritisation skills with a high attention to detail.
