Description:
What is the role about-
As a Receptionist and General Affairs Officer, you will responsible for the following activities:
- Welcome and support of partners, visitors, employees and external service providers;
- Coordination of all mail correspondence and couriers (registration, distribution, preparation packages, etc.)
- Register all the official documents that enters and leaves the Company and inform the beneficiary;
- Manage the temporary and visitors access cards;
- Check, prepare and attach the evidences and approve the invoices of the department;
- Performs the necessary arrangements and/or provide support events (catering, restaurant reservations, hotel and taxi reservations) for organizing various within the company;
- Manage office supplies stocks (stationery, kitchen, toilets etc);
- Maintain the office at the best condition;
- Support and coordinate with HR and IT departments for employees onboarding and exit process;
- Support other departments in organizing off-site activities (like workshops, conferences, meetings);
- Inform Finance department about unbilled expenses from last month;
- Contact the suppliers or building administration in case of any issues and follow-up until is solved;
- Manage and supervise the travel process for SSCE employees and/or provides support for travel arrangements (taxi/hotel reservations) for Samsung employees from other countries;
- Manage the mobile phones stock and monthly subscriptions;
- Provide support in administrative activities (eg.: settlements, reservations, etc.) to the higher management team;
- Implement all the requests from direct manager and higher management;
- Communicate and ensure that employees are complying with internal Policies and Procedures;
- Be the first point of contact in the organization;
- Support with any ad-hoc request related to office administration.- Your profile:
- University degree;
- Computer literacy (Microsoft package aEUR” Office, Edge etc)
- Minimum 1 year experience in an administrative role (like Administrative assistant/Receptionist);
- Excellent written and verbal communication skills, English advanced level;
- Attention to details and discretion when handling confidential information;
- Excellent time management skills and ability to multi-task and prioritize work;
- Responsible, proactive, willing to help others;
